Job Description
Unique Abilities:
Signed into law by Florida's governor on January 21, 2016, the Florida Postsecondary Comprehensive Transition Program Act (the Act) (FS 1004.6495) established the Florida Center for Students with Unique Abilities at the University of Central Florida (the Center) and charged the Center with managing the Florida Postsecondary Comprehensive Transition Program (FPCTP) application and approval process. The Act also established criteria for FPCTP approval, scholarship awards for eligible students to attend approved programs, grant awards to promote new program development and existing program enhancements, and accountability requirements associated with these opportunities. As stated in the legislation, the purpose of the Act is to "increase independent living, inclusive and experiential postsecondary education, and employment opportunities for students with intellectual disabilities through degree, certificate, or non-degree programs and to establish statewide coordination of the dissemination of information regarding programs and services for students with disabilities. It is the intent of the Legislature that students with intellectual disabilities and students with disabilities have access to meaningful postsecondary education credentials and be afforded the opportunity to have a meaningful campus experience." (FS- 1004.
The Opportunity:
The Administrative Coordinator III serves as the primary administrative lead for Florida Postsecondary Comprehensive Transition Programs (FPCTPs) programmatic operations, including application compilation, grants management, and scholarship administration. The position provides advanced fiscal collaboration, coordination, compliance oversight, contract administration, and cross-functional collaboration to ensure adherence to legislative requirements and institutional policies.Responsibilities:
Grant Administration & Compliance:
Prepare and process FPCTP grant agreements through institutional systems, including Huron. Compile FPCTP application materials in accordance with legislative requirements for state-level review and approval. Monitor grant deliverables and reporting timelines using Salesforce and Huron to ensure compliance and fiscal integrity throughout the grant lifecycle. Liaise with CCIE RAST and the UCF Office of Research to create and process grant modifications, including no-cost extensions, additional funding requests, and transfers between budget categories and fiscal years while maintaining accurate budgets. Collaborate with leadership and FCSUA staff to review and approve grant budget changes, as needed. Process Subrecipient Performance Checklists for all FPCTPs with active grants to ensure funds are available at the start of each fiscal year.Financial Processing & Invoicing:
Process quarterly grant invoices using Salesforce and electronic signature platforms. Register returned, non-disbursed scholarship funds back to FCSUA in accordance with financial guidelines.Scholarship Administration & Disbursement:
Collaborate with Assistant Directors of Technical Assistance to review and revise FPCTP Scholarship Cost Estimators throughout the year. Award scholarship funds through Salesforce in compliance with FPCTP Act guidelines and program requests. Process scholarship awards for payment by generating invoices and obtaining required approvals using Salesforce and Conga Sign. Track scholarship disbursement reports each academic term using Salesforce reports.Stakeholder Support & Communication:
Provide coverage for general phone and email monitoring. Respond to and assist FPCTPs with inquiries related to scholarship requests, grant agreements, invoices, and budget changes to ensure adherence to legislative mandates. Perform other duties as assigned.Minimum Qualifications:
Bachelor's or Master's degree and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).Preferred Qualifications:
Bachelor's degree and four (4) years of progressively responsible administrative, grants, contracts, or financial coordination experience in higher education, state-funded programs, or public sector administration. Experience with financial processing, budgeting, or grant administration. Experience with grant lifecycle management, preparing and processing contracts. Experience using systems such as Salesforce, Huron, Workday, Cobblestone, Conga Sign, or similar platforms. Experience coordinating events in support of strategic planning initiatives, including facilitating contractors and vendors, working with survey data, and managing deliverables and timelines. The most successful candidates may possess the following qualities: Strong attention to detail with the ability to manage complex administrative processes. Ability to apply policies, procedures, and compliance standards effectively. Knowledge of legislative compliance requirements. Special Instructions to theApplicants:
The anticipated salary range for this position is $48,722- $70,646.
