Job Description

Indiana Wrap Company is looking for a friendly, organized, and reliable Administrative Assistant / Service Coordinator to join our in-house team. This is a front desk and customer service position that helps keep our daily operations running smoothly. You will help answer phones, greet customers, schedule appointments, collect project information, update customer records, and support our team with general office and service coordination tasks. No wrap industry experience is required. We are willing to train the right person. The most important qualities for this role are being friendly, dependable, organized, professional, and willing to learn. This is an in-house position only . This is not a remote role. About the Role The Administrative Assistant / Service Coordinator will often be one of the first people our customers interact with. This person should be comfortable talking to customers, asking questions, taking notes, and helping point people in the right direction. This role is ideal for someone who enjoys helping people, can stay organized, and is comfortable working in a busy office and shop environment. Responsibilities Answer incoming phone calls and help direct customer inquiries Greet customers and assist with front desk communication Schedule appointments, consultations, drop-offs, pick-ups, and follow-ups Help collect customer and project information Ask customers for basic details such as vehicle information, photos, artwork, deadlines, and service needs Help update customer records, job notes, project statuses, and calendar information Send and follow up on reminders, approvals, scheduling messages, and general customer communication Help coordinate communication between customers and our internal team Assist with basic paperwork, job folders, customer files, and office organization Help track vehicle drop-offs, completed jobs, pick-ups, and follow-up appointments Communicate professionally by phone, email, text, and in person Support the team with general administrative tasks as needed Requirements Must be able to work in-house at Indiana Wrap Company Must have reliable transportation Must be friendly, professional, and comfortable speaking with customers Must be dependable and show up on time Must be organized and able to keep track of multiple tasks Must be comfortable answering phones and taking clear notes Must be comfortable using computers, email, calendars, and basic office software Must be able to communicate clearly by phone, email, text, and in person Must be willing to learn our services, systems, and process Must be able to follow directions and complete tasks without constant reminders Must be comfortable working in a busy office and shop environment Must have a positive attitude and be willing to help where needed Preferred but Not Required Customer service experience Front desk, receptionist, office assistant, or administrative experience Scheduling or calendar management experience Experience using computers, email, spreadsheets, or office software Experience working in a small business, service business, or office setting What We're Looking For We are not requiring wrap industry experience for this position. We are looking for someone who is friendly, trainable, organized, and willing to learn. The right person should be able to make customers feel welcome, take good notes, follow up when needed, and help keep the front office running smoothly. Pay:
