This role works Monday through Friday from 8:00am to 5:00pm and offers a starting pay rate of $20.00 per hour. This position serves as the first point of contact for clients, visitors, donors, and community members while providing administrative support to leadership and various departments. The ideal candidate will be comfortable managing multiple priorities, handling confidential information, and maintaining a welcoming and professional office environment.
Job Duties:
Answer and direct calls through a multi-line phone system Provide outstanding customer service to clients, visitors, donors, and vendors Greet and assist walk-in visitors while maintaining a professional reception area Coordinate referrals and accurately document call and client information Maintain office calendars, meeting schedules, and conference room usage Coordinate on-site and off-site meetings, including room setup and audio/visual equipment Perform general administrative duties including filing, copying, scanning, mailing, and data entry Distribute incoming mail and manage organizational records and documents Track volunteer hours, visitor sign-ins, and employee sign-in records Record donations and acknowledge donors in a professional and welcoming manner Serve as a liaison between departments, vendors, and outside contacts Monitor facility security procedures and follow established protocols when needed Assist leadership and other departments with special projects and administrative support
Qualifications:
High school diploma or GED required 3-5 years of administrative assistant, office coordinator, receptionist, or executive support experience Strong customer service and communication skills Proficiency with Microsoft Office and Google Workspace Excellent grammar, spelling, and attention to detail Strong organizational, multitasking, and time management skills Comfortable handling confidential information with professionalism and discretion Ability to remain calm and professional when managing sensitive situations Strong data entry and recordkeeping abilities It's a match for someone who enjoys being the hub of a busy office, takes pride in providing excellent customer service, and can confidently manage multiple priorities while maintaining a professional and compassionate approach.
