Job Purpose:
The Administrative Coordinator provides day-to-day support across multiple departments, including Human Resources, Finance, and to the CEO. This role serves as a key point of support for office operations, employee onboarding activities, front office coordination, accounts receivable support, and various administrative projects. The ideal candidate is highly organized, professional, detail-oriented, and comfortable managing a wide variety of responsibilities in a fast-paced entrepreneurial environment. This individual must maintain confidentiality, communicate effectively with employees and customers, and provide excellent internal and external customer service.
Position Responsibilities:
Office Administration & Executive Support Serve as the first point of contact for visitors, vendors, and incoming calls Assist with front office coordination and general office management duties Assistance to CEO with administrative tasks and special projects Lead all planning and coordinating company meetings, events, and employee activities Prepare reports, spreadsheets, correspondence, and other administrative documents Order and maintain office supplies and coordinate vendor requests as needed Human Resources Support Provide general support to the Human Resources department Maintain accurate and up-to-date employee personnel files and HR documents Lead Warsaw Chemical's recruitment activities, including posting job openings, scheduling interviews, and managing candidate communications Support, manage and lead new hire onboarding activities, including paperwork preparation and orientation scheduling Maintain HR databases, training records, and timekeeping documentation Respond to routine employee inquiries regarding policies, procedures, and forms Maintain confidentiality of employees and company information Assist with HR-related projects and initiatives as needed Finance Support Assist the Finance department with collections activities and customer follow-up Post accounts receivable payments and assist with related administrative tasks Support additional accounting or administrative projects as needed

- High school diploma or equivalent required
- Associate degree or additional administrative training preferred
- 1-3 years of administrative, office support, HR support, or related experience preferred
- Basic understanding of accounting principles preferred
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 30 pounds at times.
