Job Description

Position Overview We are seeking a reliable, organized, and professional Part-Time Administrative Assistant to support daily office operations. This role involves answering phones, scheduling appointments, providing updates, and ensuring effective communication between clients and staff. Phone & Front-Line Communication Answer incoming phone calls in a professional and courteous manner Direct calls to appropriate staff or departments Take detailed and accurate messages when necessary Respond to general inquiries and provide information to customers or clients Appointment Scheduling Schedule, reschedule, and confirm appointments Maintain and update calendars for staff or services Ensure efficient time management and avoid scheduling conflicts Send appointment reminders via phone, email, or text Customer & Client Updates Provide timely updates to clients regarding appointments, services, or project status Follow up with customers to confirm services or gather feedback Communicate any delays or changes clearly and promptly Internal Communication Relay important information between management and employees Notify staff of schedule changes, updates, or announcements Maintain clear communication across departments to ensure smooth operations Administrative Support Maintain accurate records and documentation Enter and update information in company systems or databases Assist with basic clerical tasks such as filing, emailing, and data entry Monitor office supplies and report shortages if applicable Experience with Collections would be beneficial Required Skills & Qualifications Strong verbal and written communication skills Excellent organizational and multitasking abilities Professional phone etiquette Basic computer skills (email, scheduling software, Microsoft Office/Google Workspace) Ability to work independently and as part of a team Reliable, punctual, and detail-oriented Preferred Qualifications (Optional) Previous administrative or customer service experience Experience with scheduling software or CRM systems Familiarity with office procedures Work Schedule Part-time hours - 1:30 - 4:30 Work Environment Office setting Fast-paced environment requiring frequent communication

$16.00 - $20.00 per hour
