This vital role combines front desk responsibilities, client intake management, and office support to ensure smooth daily operations. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for visitors and callers, manage scheduling and data entry tasks, and support office management functions. Duties Greet visitors and clients warmly, providing exceptional customer service and maintaining professional phone etiquette on multi-line systems Manage incoming calls efficiently, directing inquiries to appropriate staff members using multi-line phone systems Handle client intake processes accurately, including data entry into relevant databases and verification of information Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination using Microsoft Office and Google Workspace tools Perform bookkeeping duties using QuickBooks or similar accounting software to assist with invoicing and expense tracking Proofread correspondence, forms, and reports for accuracy while maintaining high standards of professionalism Experience (2 years Health Care Administration Experience Required) Previous office experience in administrative or clerical roles with a proven track record of effective office management Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Familiarity with QuickBooks or other bookkeeping software is preferred Bilingual abilities are highly desirable to support diverse client needs Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Demonstrated experience in handling multi-line phone systems and managing front desk operations Strong time management skills coupled with the ability to prioritize tasks effectively Personal assistant or customer support experience is a plus but not required Join us in creating a welcoming environment where professionalism meets energetic service!
