Township Supervisor Position Summary:
This position is appointed by the Township Supervisor and assumes all responsibilities of the Supervisor in his/her absence. This is a full time, 40 hour per week position, Monday - Friday 8:00 a.m. to 5:00 p.m., with intermittent attendance at evening meetings resulting in overtime pay or compensatory leave.
Essential Job Functions:
The employee in this position may be called upon to do any or all the following essential functions. These examples do not include all the duties which the employee may be expected to perform. To perform this job successfully, the individual must be able to perform each essential function satisfactorily. General Administrative Duties Provides excellent customer service, including but not limited to receiving, screening, and directing telephone calls, and correspondence to the correct departments. Greets visitors, provides information and/or directs them to the appropriate person or department. Maintains a positive, helpful, and constructive attitude. Develops a good working relationship with the Supervisor, other elected and appointed officials, department heads, contracted professionals, other employees at the Township and the public. Assists in preparing and processing correspondence, mass mailings, notifications, records, documents, reports, statements, and information requests as well as obtaining information from a variety of sources. Processes and distributes incoming and outgoing mail for the Supervisor, Assessor and Community Development Dept. Maintains knowledge of relevant regulations, rulings, and laws that affect departmental operations, and ensures compliance. Ability and willingness to obtain certification as a Notary Public. Reviews various permit applications and in absence of the Code Official, the Deputy Supervisor may issue building permits after plans have been approved by Building Inspector. Keeps building permit files and performs records maintenance and retention per Michigan retention schedules. Receipts money for fees received in the Supervisor's office. Deputy Supervisor's Duties Assists the Supervisor with personnel and HR matters as needed. Serves as the Townships confidential employee demonstrating the utmost level of discretion. Records and transcribes minutes, types letters, memos, and various forms and reports for the Board of Review and other boards, commissions and committees as needed. Executes Township initiatives that originate from the Supervisor's Office. Obtain MCAT within 2 years of start and, complete continuing education credits for MCAT, and maintain MCAT certification Serves as liaison between the Township Supervisor, other employees and the public. Follows up on complaints, correspondence and transactions. Administers the website and social media accounts, authors and publishes the Township newsletter, and performs other communications activities as needed. Processes relevant vendor invoices for accounts payable and submits payroll information as directed. Coordinates the creation of agendas for all public meetings. Performs all other duties assigned by the Township Supervisor.

Requirements include the following:
High school diploma or equivalent 3 or more years' experience in working in an office environment Experience in drafting meeting minutes preferred Ability to successfully pass a background investigation Excellent oral and written communication skills Ability to be productive in an environment with many distractions, limited supervision, and changing work priorities Ability to critically assess situations, solve problems and work effectively within deadlines Proficiency with office equipment including computer, copier/scanner, audio recorder and multi-line telephone system Proficient with Microsoft 365 suite of programs Ability to learn specialized computer programs used by the Township, including the BS&A assessing, building permit, payroll, payables modules of the .Net and Cloud applications
