Administrative Coordinator Alliance Française Mpls/St Paul Minneapolis, MN Job Details Full-time $40,000 - $50,000 a year 1 day ago Benefits Health insurance Paid time off 401(k) matching Employee discount Qualifications French Guest relations English Microsoft Office Administrative experience Clerical experience Full Job Description The Administrative Coordinator provides general office support and care for the operational functions of AFMSP and the Joly Family Center for International Understanding. The Administrative Coordinator oversees office equipment and facility maintenance, including ordering supplies, coordinating repairs and service calls, as well as setting up for meetings, events and rentals. This position also works with chefs on cooking class offerings and assists in La Boutique with inventory, new merchandise, and volunteer training and coordination. Other responsibilities include responding to communications with members and guests, processing registrations, and overseeing part-time Receptionists.
Duties and Responsibilities:
Provide general office support to staff and volunteers such as filing, preparing mailings, assembling reports; attend staff committee meetings, open houses, and events as requested. Be an informational resource to members and non-members about AF programs; be an ambassador for the organization in the community. Oversee a team of part-time Receptionists; provide front-desk coverage as needed. Coordinate room reservations for AF classes, events and meetings; set-up for events, classes, rentals and meetings; coordinate and oversee rentals and facility use agreements. Monitor office equipment; ensure basic maintenance and updates on office and classroom computers; work with tenants to resolve issues. Oversee vendors such as security monitoring, janitorial services, waste removal, HVAC maintenance, photocopying, sprinkler testing, piano-tuning, snow plowing, etc. Support operations of La Boutique gift shop including supervising and organizing volunteers, receiving deliveries, assisting customers when a volunteer is not staffing the shop. Work closely with the Executive Director, Office Manager and LLC Board of Managers on building and office projects. Coordinate use of the teaching kitchen facility including scheduling cooking classes, rentals and other uses; ensure tidiness and equipment of the kitchen. Other duties as assigned.
Minimum Qualifications:
Computer proficiency (MS Office, Canva, Squarespace helpful). Conversational level of both French and English. Excellent customer service and organizational skills, an out-going and welcoming personality essential. Interest and/or experience in tackling hands-on projects; Ability to lift 30 pounds Prior experience in retail or customer service industry preferred. Knowledge of and enthusiasm for AF programs and a general appreciation and knowledge of French culture. To apply, please send resume and cover letter to .
