Job Description

GENERAL RESPONSIBILITIES
The Prairie Five Meals Administrative Coordinator oversees, communicates and administers support to the Prairie Five Meals Staff. They will perform a wide variety of duties, including administrative, clerical and direct service functions. Confidentiality is required. Attention to detail is essential.
Primary Responsibilities:
Provide assistance and information to the public by phone or in person. Assist participants with program paperwork over the phone or in person. Work with county family services with participant meals. Work with Microsoft Word, Excel and ability to learn other software programs as requested. Enter participant data into program software. Distribute program paperwork, meal sites and caterers. Complete monthly paperwork and report information through program software to funder. Train staff and volunteers on proper completion of paperwork. Review and update clients' electronic files. Scan and organize documents. Utilize computers for data entry, word processing, and other tasks. Provide statistical data to program director. Maintain open lines of communication with staff, participants and agency partners. Develop and maintain positive relationships with nutrition providers.
Secondary Responsibilities:
Participate in agency committees, work teams and strategic planning activities. Conduct agency outreach activities as requested. Assist in cross-training of other staff. Other duties as requested by supervisor. Provide information, referral and advocacy as needed.
Job Qualifications:
Strong written and verbal communications skills. Proficiency in Microsoft Office Suite (Excel, Outlook & Word), Canva and agency software programs. Ability to use personal computer for creation, development and maintenance of forms and tracking systems. Ability to work independently with minimum supervision. Ability to collaborate with new program opportunities. Ability to work effectively with individuals from diverse cultural and economic backgrounds. Preferred Demonstrated understanding of diverse backgrounds and cultures

Kitchen Work Environment:
This position is predominantly in an office environment with little to no temperature extremes, noises and physical and/or chemical hazards. Will require frequent travel outside of the office for meetings and training. Will utilize personal vehicle if Agency vehicle not available and will be reimbursed for business-related travel.
