This role serves as the first point of contact for clients, visitors, and staff while helping ensure smooth day-to-day office operations. The ideal candidate is detail-oriented, customer service-focused, and able to multitask in a fast-paced healthcare environment. As our Administrative Coordinator , you will Answer and direct phone calls and respond to inquiries Schedule and complete client intakes while coordinating staff schedules Support the team with documentation tasks, including reviewing Electronic Visit Verification (EVV) logs and ensuring records meet state guidelines Conduct interviews and assist with staff onboarding, training, and orientation Coordinate and complete intake, reassessment, and annual service documentation for clients and staff Assist with staff scheduling changes, call-offs, and shift coverage coordination Review applications, screen resumes, and coordinate interviews with the staffing team Communicate effectively with clients, case managers, and caregivers Complete billing, review and correct EVV/timecard discrepancies, assist with payroll processing, maintain knowledge of DHS unit- based billing, and obtain service authorizations Maintain compliance with HIPAA regulations, DHS requirements, and company policies Assist with DHS background study tracking and employee credential verification Maintain organized electronic and physical client and employee records Utilize EHR systems, Microsoft Office, EVV platforms, and scheduling software efficiently Provide exceptional customer service while maintaining strong organizational and multitasking skills Preferred Skills Experience working in home care, 245D, CFSS, or healthcare settings Knowledge of Minnesota DHS regulations and compliance standards Experience with DHS unit-based billing, service authorizations, and healthcare payroll processing Familiarity with EVV systems, scheduling software, and billing platforms Ability to manage multiple priorities in a fast-paced environment Strong organizational, communication, and problem-solving skills Bilingual candidates are encouraged to apply Qualifications High school diploma or equivalent; additional education or certifications in office administration or healthcare is a plus. Previous experience as a receptionist, administrative assistant, or in a similar role, preferably in a healthcare setting Strong organizational skills with attention to detail and the ability to multitask Excellent communication and interpersonal skills, with a customer service-oriented mindset Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with electronic health records (EHR) systems Ability to handle sensitive information with confidentiality and professionalism Positive attitude, strong work ethic, and ability to work well both independently and as part of a team Knowledge of home health care industry practices and terminology (preferred but not required).
