Full Job Description Growing Healthcare Company Seeking and Administrative Support Coordinator Administrative Support Coordinator Job Summary:
Administrative Support Coordinator provides administrative, operational, and accounts payable support for the company and affiliated corporate operations. This role assists with invoice collection and processing, vendor communication, supply ordering, office coordination, and corporate administrative support. The position serves as a liaison between vendors, operational departments, and the finance team while supporting efficient day-to-day operations across multiple sites. Administrative Support Coordinator Essential Duties and Responsibilities
  • Provide administrative support for corporate office operations to multiple sites
  • Answer and route incoming phone calls, emails, and general inquiries professionally and efficiently.
  • Assist with scanning, filing, document organization, data entry, and records management.
  • Support organizational projects, reporting requests, and operational initiatives as assigned.
  • Maintain organized office systems, records, and administrative workflows.
  • Coordinate and assist with general office operations and day-to-day administrative tasks.
  • Assist leadership and departments with clerical and operational support as needed.
  • Provide professional customer service to staff, vendors, clients, and visitors.
  • Assist with limited front desk and reception coverage as needed.
  • Maintain confidentiality and compliance with HIPAA and organizational privacy standards. Accounts Payable Support & Vendor Follow Up
  • Collect and organize vendor invoices, statements, and payment documentation
  • Follow up with vendors regarding missing invoices, account statements, payment questions, and required documentation.
  • Serve as a liaison between vendors and the company
  • Assist with gathering and organizing information requested by the accounting team related to vendor accounts and payments.
  • Maintain organized vendor, invoice, and payment records.
  • Provide administrative and clerical support related to accounts payable processes.
  • Communicate professionally with vendors and staff regarding invoice and payment-related matters.
  • Assist with additional accounts payable support duties as assigned. Purchasing & Office Coordination
  • Coordinate and manage supply ordering and purchasing for the company locations and departments.
  • Monitor office, operational, and program supply needs to help maintain appropriate inventory and prevent shortages.
  • Track orders, shipments, delivery timelines, and backorders to ensure supplies arrive timely and at the correct locations.
  • Follow up with vendors regarding delayed shipments, missing items, pricing discrepancies, damaged products, and order-related concerns.
  • Communicate regularly with vendors and staff regarding purchasing needs, delivery updates, supply availability, and operational requests.
  • Assist with identifying cost-effective purchasing options and maintaining best available pricing from vendors and suppliers.
  • Maintain organized purchasing, order, and vendor records and documentation.
  • Coordinate operational and office-related requests to support efficient daily operations across all company sites.
  • Assist with additional purchasing, office coordination, and administrative support duties as assigned. Organizational Expectations

  • Demonstrate flexibility in supporting operational and administrative needs across departments.
  • Maintain compliance with all mandatory training and organizational requirements.

Administrative Support Coordinator Minimum Qualifications:
  • Must be at least 18 years of age.
  • High school diploma or GED required.
  • Associate degree or related coursework preferred.
  • Previous administrative, office support, customer service, or accounts payable experience preferred.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Strong customer service skills and professionalism.
  • Proficiency in Microsoft Office programs including Outlook, Word, and Excel.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to work independently while also collaborating with multiple departments.
  • Ability to adapt to changing operational needs and priorities.
  • Experience working in an office or healthcare environment preferred.
  • Consent to background check and clearance by DHS to work within a human services program.
Pay:
$20.00 - $22.00 per hour
