About Us We are a growing CPA firm dedicated to providing exceptional tax, accounting, and advisory services to individuals and businesses. We pride ourselves on professionalism, responsiveness, and building long-term client relationships. We are seeking an organized, proactive, and detail-oriented Firm Administrator to oversee daily office operations and support the leadership team. Position Summary The Firm Administrator is responsible for managing the administrative, operational, and client service functions of the firm. This role ensures efficient office operations, supports staff and partners, coordinates workflows, and helps maintain a positive client experience. The ideal candidate is highly organized, tech-savvy, professional, and capable of handling multiple priorities in a fast-paced environment.
Key Responsibilities:
Office & Operations Management Oversee daily office operations and administrative procedures Manage office supplies, equipment, vendors, and facility needs Coordinate workflow processes and internal communications Maintain firm policies, procedures, and administrative systems Client Service & Communication Serve as a primary point of contact for clients Coordinate client document collection and engagement workflows Maintain client databases and task management systems Ensure a high level of professionalism and responsiveness Financial & Administrative Support Assist with billing, accounts receivable, and collections Prepare reports and assist partners with administrative projects Technology & Process Coordination Assist with practice management and workflow software Coordinate with IT vendors and technology providers Identify opportunities to improve efficiency and organization Support implementation of administrative best practices Qualifications Associate's or Bachelor's degree preferred but not required; equivalent experience considered 3+ years of administrative or office management experience Experience in a CPA firm, professional services firm, or financial office preferred Strong organizational and multitasking abilities Excellent written and verbal communication skills Proficiency in Microsoft Office and cloud-based business software Ability to maintain confidentiality and professionalism Desired Skills Strong attention to detail Problem-solving mindset Ability to prioritize and meet deadlines Client-focused attitude Leadership and team coordination abilities Compensation & Benefits Competitive salary based on experience Paid time off and holidays Professional development opportunities Supportive and collaborative work environment
Pay:
$25.00 - $30.00 per hour
