Raleigh Pediatric Associates is a privately owned pediatric practice that has served children and families in the Raleigh area for more than 50 years. We are seeking an experienced Administrative Supervisor to lead our administrative team and help ensure exceptional patient service and efficient office operations. The Administrative Supervisor oversees daily front-office operations, including patient check-in and check-out, appointment scheduling, insurance verification, referrals, and medical records. They lead a team of 18 administrative staff and support 9 physicians in the Raleigh location. The Site Supervisor and Administrative Manager assist and support this position. Our ideal candidate will have strong leadership skills, be an excellent communicator, and have a thorough understanding of a medical office setting. They must be approachable, compassionate, show the ability to listen and problem solve, have solid coaching skills, and good judgment and decision-making abilities. The Administrative Supervisor responsibilities will include: Ensuring efficient office and patient flow by monitoring physician schedules for accuracy and appointment availability and ensuring appropriate staffing coverage for all operating hours, including weekends and holidays. Ensuring patient satisfaction and positive quality care outcomes by working collectively with physicians and other department supervisors regarding workflow efficiency and patient care while managing patient concerns or issues as needed. Contributing to monthly management team meetings and other various committee meetings. Presenting ideas, participating in discussions, collaborating with other managers and supervisors, and assisting with policy and procedure development while advocating for the administrative staff. Managing the full employee lifecycle, including recruitment, onboarding, training, performance management, coaching, and corrective action when necessary. Creating administrative staff schedules while monitoring and tracking attendance and paid time off requests and balances. Maintaining a working knowledge of all administrative positions to provide daily support and ensure reference and training materials are up to date. Facilitating administrative department meetings on a regular basis fostering a positive team environment, ensuring compliance with all policies and procedures, and communicating changes in a timely manner. Preparing letters, reports and other documents using Microsoft Word, Excel, and One Drive. Key competencies of the Administrative Supervisor include the following: Ability to prioritize and multi-task in a fast-paced environment while maintaining professionalism, discernment, and confidentiality. Ability to demonstrate emotional maturity and outstanding communication skills to calmly coach staff, think critically, and solve problems in difficult situations. Ability to think ahead and take pro-active steps to avoid issues or conflicts. Excellent attention to detail, organized, and solid time management skills. Ability to learn and effectively use new technologies and software systems. Superb verbal and written communication skills to positively and professionally interact with physicians, staff, patient families, and the public daily.
