This is an organizational role focused on keeping everything in order and moving efficiently.. Responsibilities Answer and direct incoming phone calls Handle miscellaneous tasks as directed by the leadership team Monitor and reorder office supplies as needed Save, organize, and maintain all company files Ensure documents are stored consistently and easy to locate Input and maintain all vendor records in the system Collect W-9s from all vendors Collect and track certificates of insurance, following up on anything missing or expired Prepare contracts and agreements as directed by the leadership team Route contracts for execution on behalf of the leadership team Maintain a log of outstanding and executed agreements Input invoices into the accounting system Monitor the AP process and follow up on anything stalled or pending approval Requirements Proven office experience with strong organizational skills and attention to detail. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and data entry skills. Experience with office management systems such as QuickBooks or similar accounting software is preferred. Excellent phone etiquette skills with the ability to handle multi-line phone systems confidently. Strong typing skills with a focus on accuracy and speed; familiarity with proofreading is advantageous. Previous clerical or administrative experience in a professional setting is highly desirable. Ability to manage time efficiently in a fast-paced environment while maintaining professionalism and positive attitude. Real Estate experience is beneficial but not required; training will be provided for specific duties as needed.
