Job Description:
We're seeking a highly organized and professional Administrative Coordinator to support a fast-paced academic and operational environment. This role will provide administrative, event coordination, and operational support to faculty, staff, students, and department leadership.
Key Responsibilities:
Coordinate logistics for departmental events, seminars, meetings, and recruitment activities Manage hotel reservations, visitor schedules, catering, event space bookings, and A/V coordination Process honorariums and reimbursements for visitors and guest speakers Support onboarding and offboarding processes for new personnel Maintain departmental records, databases, listservs, and calendars Coordinate room reservations for courses, lectures, meetings, and special events Create and distribute communications including emails, flyers, invitations, and announcements Maintain department calendars and support ongoing scheduling needs Provide professional front desk and reception support for visitors and incoming calls Manage departmental mail, office inventory, and supply ordering Prepare meeting materials and purchasing requisitions Assist with admissions and visitor logistics as needed Support additional administrative projects and responsibilities as assigned
Must-Have Qualifications:
High School Diploma required Minimum of 2 years of related administrative experience or equivalent combination of education and experience Strong computer skills including Microsoft Office Suite, spreadsheets, databases, and general administrative systems Strong organizational, communication, and multitasking abilities Professional demeanor with strong attention to detail
Preferred Qualifications:
College coursework or degree preferred Experience with desktop publishing, communications, or graphic design preferred Familiarity with website or content management systems is a plus
