• Why does the job exist? To oversee incumbents and participate in the work as it relates to administrative support for large juvenile facility. How does it get done? The Administrator will perform administrative functions, relieving facility leadership of routine management functions, and adhering to division and department policies, in a manner that ensures the smooth operation of the office. (35%) Provide effective supervision to all secretarial, clerical, and records staff in a fair and professional manner, to include managing office productivity and deadlines to include time approvals and employee evaluations. (30%) Perform the personnel activities for the office, to include tracking and monitoring all new hires, resignations, and terminations in an efficient manner to include submitting necessary documents to Human Resources. Tracks and send reminders to facility supervisors on employee evaluation deadlines (20%) Supervise the budgets, contracts, and fiscal activities for the office in an accurate and efficient manner adhering to deadlines. (15%) Who are the customers? JJS Clients and Staff. Ideal Candidate JJS Clients and Staff. Minimum Qualification High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience. Employment Requirements Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment. Pre-employment background investigation is required and is conditional pending results. Working Conditions Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Travel may be required. Possible exposure to irate clientele. Incumbent will work under stress and frequent time constraints.
