Description We are looking for a detail-oriented Administrative Coordinator to join our team on a contract basis in Reno, Nevada. In this role, you will play a key part in ensuring the smooth operation of our office by managing various administrative tasks and providing exceptional support to both staff and visitors. Responsibilities:
Greet visitors and guests warmly while ensuring they have a positive and attentive experience.
Manage incoming and outgoing mail, documents, and messages with accuracy and efficiency.
Provide support for accounting tasks, including processing check deposits, tracking company purchases, and maintaining purchase order documentation.
Assist with creating, preparing, and distributing correspondence, reports, training materials, and proposals.
Ensure all office documents and materials are accurate and delivered in a timely manner.
Coordinate special activities and assignments as directed by management.
Handle conference registrations, travel arrangements, meeting facilitation, and business development tasks.
Keep workspaces organized and maintain an efficient environment to support productivity.
Monitor and replenish office supplies, including copier materials and general inventory.
Collaborate with property management to address facility-related concerns and needs. Requirements
High school diploma or equivalent, with at least 5 years of relevant experience, or a college graduate in administration or related field.
Strong ability to manage inbound calls and direct communication effectively.
Proficiency in all MS Office software
Skilled in organizing files and documentation.
Experience in managing office supplies and inventory.
Ability to compile and prepare documents with attention to detail.
Demonstrated aptitude for assisting guests and fostering a welcoming environment.
Capable of working in a team environment with excellent interpersonal skills.
