$50,639.00 - $75,959.00 The Administrative Coordinator for Individual Giving serves as an operations and donor engagement partner supporting a comprehensive fundraising program that includes major gifts, annual giving, and planned giving. This position plays a critical role in advancing the organization's philanthropic priorities by providing high-level administrative, and operational support to the Assistant Vice President and members of the Individual Giving team. The ideal candidate is a highly organized, detail-oriented, and relationship-focused professional who thrives in a dynamic environment with multiple competing priorities. The successful candidate will demonstrate exceptional communication skills, sound judgment, professionalism, initiative, and the ability to work both independently and collaboratively in support of complex fundraising initiatives and organizational goals. Specific Responsibilities Serve as an administrative and operational partner to the Assistant Vice President for Individual Giving and a comprehensive individual giving team, including major gifts, annual giving, and planned giving. Manage departmental administrative and financial operations, including budget tracking, travel coordination, expense reconciliation, invoice processing, reimbursements, and related activities through Workday, Raiser's Edge and other institutional systems, ensuring efficiency, accuracy, and responsiveness in support of a high-performing advancement operation. Support the Assistant Vice President for Individual Giving through the preparation and coordination of reports and related materials that track fundraising progress, development officer activity, portfolio performance, and team outcomes in support of informed decision-making and fundraising goals. Provide administrative support to major gift officers through travel coordination, donor visit logistics, preparation of solicitation and briefing materials, and activity management within Raiser's Edge and related systems to support portfolio management, donor engagement, and fundraising strategy. Assist in the planning and execution of donor events, recognition programs, volunteer activities, and other strategic engagement opportunities designed to deepen donor connection, strengthen philanthropic partnerships, and advance fundraising outcomes. Represent the Foundation and Individual Giving team with professionalism at internal and external events while contributing to the organization's reputation for excellence in donor engagement, philanthropic partnership, and advancement success. Maintain strict confidentiality regarding donor, prospect, patient, volunteer, and organizational information, including financial and philanthropic records and activities designated as confidential. Qualifications Bachelor's degree required, along with a minimum of three to five years of progressively responsible experience in advancement, fundraising, higher education, healthcare philanthropy, nonprofit administration, or a related professional environment. The successful candidate will demonstrate exceptional organizational, communication, and project management skills, with the ability to manage multiple competing priorities while maintaining a high level of professionalism, accuracy, and responsiveness. To perform this position successfully, the individual must be able to execute each essential duty with professionalism, initiative, discretion, and attention to detail. Occasional evening and weekend work may be required in support of donor events and advancement activities. The Administrative Coordinator must possess the ability to engage effectively with donors, volunteers, institutional leadership, clinicians, faculty, and colleagues at all levels of the organization. This position requires strong organizational and communication skills, considerable external visibility, and the ability to represent the Foundation and Individual Giving team with integrity, diplomacy, and a commitment to excellence in donor and constituent engagement. Proficiency with Microsoft Office applications is required, including advanced formatting and mail merge capabilities.
