Support a High-Performing Team. Make Every Visit Exceptional. We're looking for a passionate, service-oriented Front Desk Supervisor to lead our front office operations and help create an outstanding experience for every patient who walks through our doors. As the first impression of our center, you'll play a critical leadership role in ensuring patients and families feel welcomed, valued, and supported throughout their healthcare journey. You'll oversee daily front desk operations, coach and support Care Facilitators, and serve as a key resource for both patients and team members. What You'll Do Lead Front Desk Operations Supervise and support Care Facilitators to ensure a seamless, patient-centered check-in and check-out experience. Train, coach, and guide team members to maintain exceptional customer service and operational standards. Serve as the primary escalation point for patient questions, concerns, and service recovery opportunities. Monitor front desk workflows and identify opportunities to improve efficiency and patient satisfaction. Create a VIP Patient Experience Welcome patients and families with professionalism, warmth, and compassion. Ensure the center is clean, organized, and ready to provide a positive patient experience each day. Assist patients with forms, scheduling, and general navigation of services. Support new patient orientations, tours, and welcome activities. Coordinate Scheduling and Patient Flow Manage provider schedules to maximize patient access and operational efficiency. Monitor appointment availability and help close scheduling gaps. Support HEDIS and quality initiatives by helping ensure patients receive needed appointments and follow-up care. Review notifications and reports to ensure timely patient outreach and care coordination. Support Administrative and Operational Excellence Ensure medical records, release forms, and patient documentation are processed accurately and efficiently. Review incoming communications and ensure appropriate follow-up by the care team. Collect and reconcile co-payments and support daily financial processes. Monitor office supplies and coordinate inventory replenishment. Troubleshoot basic technology and office equipment issues as needed. Team Support and Collaboration Provide coverage for front desk team members when needed. Collaborate closely with providers, clinical staff, and operational leaders to ensure exceptional service delivery. Assist with patient education programs, exercise classes, and center events as needed. What We're Looking ForRequired Qualifications High school diploma or GED equivalent. Minimum of 3 years of experience in a medical office, healthcare clinic, or similar healthcare environment. Demonstrated ability to lead, coach, and support team members. Strong customer service and patient engagement skills. Excellent communication, organizational, and problem-solving abilities. Preferred Qualifications Some college coursework. Experience working with electronic medical record (EMR) systems. Knowledge of medical insurance verification and healthcare scheduling processes. BLS for Healthcare Providers certification. Skills for Success Exceptional customer service mindset with a passion for helping others. Strong leadership and team-building abilities. Excellent verbal and written communication skills. Ability to remain calm and professional in a fast-paced environment. Detail-oriented with a commitment to accuracy and follow-through. Strong critical thinking and decision-making skills. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint. Comfortable learning and using healthcare technology platforms and systems. Why Join Us?
