Full Job Description Overview:
The Administrative Coordinator will provide reception and support services at the front desk on an ongoing and regular basis. This position directs incoming calls and clients as they walk in and provides a wide array of other administrative support as needed. They will provide administrative support to the CCFI clinical and program teams. Duties will include day-to-day clerical tasks, a range of clinical administrative responsibilities, and supervising Front Office staff.

Administrative Director Minimum Qualifications:
High school Diploma or GED At least three years of relevant office experience Ability to work during business hours (8:00 a.m. and 5:00 p.m. Monday-Friday). Must pass criminal history and other background checks Supervisory and management experience Preferences Bilingual proficiency in
Spanish Required Knowledge, Skills and Abilities:
Ability to communicate effectively with others orally and in writing. Ability to maintain effective working relationships with staff and volunteers. Ability to operate a computer, e-mail, MS Office and other applications related to duties. Ability to use multi-line phone system. Ability to work independently. Ability to be flexible and adapt to organizational change. Ability to collaborate and work as part of a team. Ability to provide effective supervision.
Front Office Responsibilities:
Prepare front office schedule ensuring consistent coverage during business hours. Oversee front office projects and ensure they are completed in a timely manner. Office Supply procurement and other ordering for the agency as needed. Delegate tasks and plan workloads for front office team. Supervise, train & coach Front Office & Baby Pantry personnel. Perform all tasks of a
CSR:
Greet, welcome and provide customer service to clients, walk-in guests and callers. Prepare, sort and distribute mail and faxes. Manage upkeep on common areas -cleaning/straightening/organizing. Perform basic clerical duties, including answering phones, copying, and filing. Process and enter client information in the client database, Echo. Handle confidential client information. Assist administration and program staff as needed. Provide task support to program & administrative staff as needed. Administrative Responsibilities Serve as administrator for Survey Monkey. Serve as Echo Administrative super user. Oversee data entry into Client Database for Parent Education services and client files. Perform all administrative duties related to Divorce & Co-Parenting class. Process all incoming payments, including checks delivered in the mail and client enrollment fees. Provide support to Counseling Team with chart management, and client enrollments/discharges. Maintain insurance verification for all counseling clients and complete insurance data entry. Manage and oversee Baby Pantry data, inventory and distribution.
General Responsibilities:
Attend staff meetings and training, as required Keep supervisor informed of issues, risks and opportunities Maintain a time sheet to track time and activities to meet funding source and general management requirements. Perform other duties as required.
Pay:
$35,600.00 - $38,000.00 per year
