This role is essential to delivering a seamless client experience. Responsibilities include Answering incoming calls in a professional and welcoming manner Scheduling court reporters, interpreters, videographers, and related services Accurately entering scheduling details into internal systems Researching supplemental information as needed, including conference room locations, hotel options, and client logistics Communicating new assignments clearly and positively to internal staff Coordinating with outside service providers and negotiating basic service terms when required Confirming assignments with clients by phone and email prior to the scheduled date Required Skills Strong ability and willingness to learn quickly Exceptional accuracy and attention to detail Highly organized with the ability to manage multiple priorities Comfortable shifting focus when priorities change Clear, professional phone and in-person communication skills Strong written communication skills Sense of urgency and responsiveness Professional demeanor and strong work ethic Solid computer and administrative skills Additional Requirements Professional appearance and positive attitude Excellent attendance history and demonstrated employment longevity Minimum of five years of office or administrative experience Residence within 25 miles of downtown Portland Trustworthy, reliable, and career-focused All formal education completed
