About Boys & Girls Club of Allentown The Boys & Girls Club of Allentown is a nonprofit organization dedicated to providing a safe and nurturing environment for youth in the Allentown community. Our programs focus on academic success, healthy lifestyles, and character development, helping children and teens reach their full potential as productive, caring, and responsible citizens. Position Summary The Boys & Girls Club of Allentown is seeking a professional, organized, and dependable Administrative Coordinator to support the daily operations of the organization's administrative office. This role is responsible for helping maintain efficient office systems, supporting leadership with administrative tasks, coordinating communication, and ensuring the office environment operates smoothly and professionally. The ideal candidate is detail-oriented, welcoming, highly organized, and able to manage multiple priorities in a fast-paced nonprofit environment. Responsibilities Administrative & Office Coordination Maintain office supply inventory and place orders as needed Ensure office equipment is functioning properly and coordinate repairs or maintenance when necessary Field phone calls Maintain a clean, organized, and professional office environment Coordinate pickup and organization of donated supplies Perform general administrative and clerical duties Mail & Document Management Sort and distribute incoming mail and packages Prepare outgoing mail and shipments, including postage and shipping labels Maintain organized electronic and physical filing systems Handle confidential documents and information with discretion and professionalism Handle parking tenets and rentals Executive & Organizational Support Provide administrative support to the CEO and leadership team Assist with scheduling meetings, managing calendars, and coordinating appointments Support preparation of presentations, reports, board materials, and internal documents Assist with meeting and event coordination, including room setup and catering arrangements as needed Communication & Customer Service Serve as a primary point of contact for visitors, phone calls, and general inquiries Communicate professionally with staff, volunteers, donors, families, and community partners Support communication and coordination across departments to ensure smooth daily operations Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred Previous administrative, office coordination, or customer service experience preferred Strong organizational skills and attention to detail Excellent verbal and written communication skills Ability to handle confidential information professionally Proficiency in Microsoft Office and standard office software applications Ability to multitask and work independently in a fast-paced environment Commitment to the mission and values of the Boys & Girls Club of Allentown How to Apply To apply for the Administrative Coordinator position, please submit your resume and a cover letter outlining your qualifications and relevant experience.
