Behavior Interventions was founded in 2006 by two Board Certified Behavior Analysts with a mission to provide quality Applied Behavior Analysis (ABA) services to our families in New Jersey, Pennsylvania, and Delaware. Our team is composed of clinical and administrative team members all focused on creating meaningful change in the lives of those we serve. We are seeking a Administrative Assistant to support our Service Coordination team in Plymouth Meeting, PA.
Reporting Relationship:
The Administrative Assistant reports to the Service Coordination Manager for all of the duties and responsibilities listed below and for other duties that the Service Coordination Manager may assign. Reviewing and completing posted administrative assignments daily; reporting progress to the assigned service coordinator. Supporting the start of new clients' cases, including adding new cases to authorization & eligibility trackers Supporting the receipt of valid Written Orders for ABA services by communicating with families and their doctors' offices Submitting and following up on authorizations by calling/ emailing insurance providers, checking portals Receiving authorizations for treatment periods lasting up to 12 months in duration, and interpreting the determination(s) Calculating units for services per CPT code, based on start and end dates, and identifying & clarifying discrepancies between requests & approvals with providers Disseminating authorization approval & denial details to various contacts, such as BCBAs and Authorization Coordinator, via templated emails, metadata Documenting all actions in Activity & Call Log in practice management (CentralReach) Submitting discharge summaries to payors Accurately maintaining client records in practice management system (CentralReach) Assist Service Coordinator in submitting re-authorizations to insurance companies Tracking, preparing and sending prepared emails to clinical staff Reviewing clinical reports to confirm administrative details are accurate
Qualifications Requirements:
Highschool diploma required 1 year of professional work experience relevant to the role Ability to maintain confidential information, i.e. handle sensitive case files and follow
HIPAA/FERPA
regulations Ability to work in a fast paced environment; handle multiple situations simultaneously and meet deadlines in an efficient manner Proficiency with basic math; adding, subtracting, multiplying and dividing accurately utilizing a calculator Proficient technical skills; working knowledge of Google apps including Gmail, Docs, Sheets and Calendars or equivalent programs Experience or knowledge in ABA service delivery preferred Effective customer service and communication skills Organizational/time management/prioritization skills
