Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Coordinator to join our team! This vital role ensures smooth daily operations within the office environment, providing exceptional support to staff, clients, and visitors. The ideal candidate will demonstrate excellent organizational skills, strong computer literacy, and a proactive attitude. As an energetic and detail-oriented professional, you will manage various administrative tasks, coordinate schedules, handle correspondence, and maintain efficient office procedures. Your enthusiasm and dedication will contribute to a positive workplace atmosphere and help drive our organizational success. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately Maintain organized filing systems, both physical and digital, including data entry and document proofreading Oversee calendar management for team meetings, appointments, and deadlines using Google Workspace or Microsoft Office tools Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking Provide exceptional customer service by addressing inquiries promptly and supporting client needs with professionalism Assist with office management tasks such as supply ordering, maintaining office equipment, and coordinating maintenance requests Handle clerical duties including typing correspondence, proofreading documents, and managing incoming/outgoing mail Qualifications Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Experience with QuickBooks or similar bookkeeping software is preferred Excellent phone etiquette with the ability to manage multi-line phone systems effectively Bilingual abilities are a plus to serve diverse client needs better Strong computer literacy with the ability to adapt quickly to new software programs Previous experience in customer service or medical/dental receptionist roles is advantageous Exceptional time management skills with the ability to prioritize tasks efficiently Personal assistant or office management experience is highly desirable Join us as an Administrative Coordinator and be part of a vibrant team dedicated to excellence! Pay:
