QuickBooks Typing Full Job Description Job Overview:
We are seeking a professional, energetic, and highly self-motivated Office Coordinator to oversee the day-to-day operations of our office and serve as a key support resource for our administrative team and tax preparers. The successful candidate will be dependable, detail-oriented, organized, and capable of managing multiple responsibilities efficiently in a fast-paced environment. In this role, you will work closely with administrative staff and tax professionals to ensure smooth office operations, maintain efficient workflows, coordinate client communications, and support the timely completion of tax and administrative processes. The ideal candidate is a collaborative team player who can effectively balance competing priorities while providing exceptional service to clients and colleagues. This is a full-time, permanent position, Monday - Friday, with occasional overtime and weekends during tax season. This position is on-site, and candidates must reside in the Chula Vista or San Diego regions. We are not considering remote or hybrid work arrangements.
Compensation:
$23.00 - $28.00 per hour. Exact compensation may vary based on skills and experience.
Job Responsibilities:
  • Handle client interactions over the phone, through emails, and in person.
  • Maintain staff calendars and schedule client appointments.
  • Oversee and organize tax returns pending e-filing.
  • Track and prioritize deadlines of clients and staff.
  • Manage administrative staff during tax season.
  • Onboard and train new staff.
  • Monitor and stock office equipment and supplies.
  • Other duties as needed.
  • Assist tax preparers and owners with any additional needs.
Qualifications:
  • Strong interpersonal, verbal, and written communication skills.
  • Excellent organizational, analytical, and problem-solving skills.
  • 2-3 years of customer service experience.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel, Teams).
  • Ability to learn and navigate multiple software applications.
  • Mobility to perform the essential functions of the job.
Preferred Qualifications:
  • 4-5 years of customer service experience.
  • Experience with QuickBooks and Accounts Receivable.
  • Experience with Lacerte and Canopy
  • Experience working in a tax office and e-filing tax returns.
  • Bilingual in English and Spanish.
