In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and visitors alike. Your proactive approach, combined with strong administrative skills, will help foster an efficient and welcoming environment. This paid position offers an exciting opportunity to develop your office management expertise while making a meaningful impact within our organization. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle inquiries, route calls efficiently, and provide excellent customer support Oversee calendar management and scheduling for meetings, appointments, and events using Google Workspace and Microsoft Office tools Perform data entry, maintain filing systems, and ensure accurate record keeping through meticulous proofreading and organizational skills Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial reconciliation Support office management duties such as supply ordering, maintaining office equipment, and coordinating maintenance requests Provide bilingual assistance as needed to serve diverse client and staff needs effectively Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Demonstrated clerical and administrative experience in a professional office setting Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively Experience with bookkeeping software such as QuickBooks for financial recordkeeping Excellent phone etiquette and customer service skills to support internal teams and external clients Ability to perform data entry accurately while maintaining high attention to detail Proven ability to handle multiple responsibilities simultaneously in a fast-paced environment Personal assistant experience or office management background is highly desirable Bilingual communication skills to assist a diverse community of staff and visitors Join us as an Administrative Services Coordinator to be at the heart of our office operations!
