In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. . The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor. Job Description - Summary of Responsibilities Core Responsibilities ERP System Records o Customer invoices: Spare Parts, Technical Services & Sales Dept's. o Supplier invoices o Payments received from customers (clear customer invoices) o Payments due to suppliers (clear supplier invoices) o Employee Payrolls § Verify hours including OT, Vacation, Holiday, Sunday § Process/verify payments o Monthly travel expenses o General expenses o Spare parts document process back-up (from quotation to invoice) o Service document process back-up (from quotation to invoice) o Create/submit purchase orders for Gambini Italy Monitor Account Receivables & Payables o Cash Flow report (Weekly) o Handle customers past due invoices (invoice reminders to customers) o Handle supplier payments issues o Balance/reconcile bank statements o Create/maintain customer/supplier databases o File/organize physical copies of paperwork Reporting o Profit & Loss (Monthly) o Inventory (Monthly) o Spare Parts sales analysis (Monthly) o Service sales analysis (Monthly) o Check alignment between our reports and local Accounting service o Maintain employees personal/contact information, including benefits/deductions and update as necessary Main contact for Gambini Italy for administrative purposes Main contact for local Accounting service for administrative purposes Secondary Responsibilities Back-up support role for Spare Parts & Technical Service Dept's Light cleaning and housekeeping Run errands as needed General receptionist duties as needed Qualifications High school diploma/GED required, Associate's degree or finance and/or administrative training is preferred Previous experience as an Finance and/or Administrative Assistant or in a similar position Familiarity with standard office equipment such as printers Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint Highly organized with excellent time management skills and the ability to prioritize projects Flexible work from home options available.
