We are a growing wellness and performance practice focused on helping clients move, recover, and function at their highest potential through strategic bodywork, movement-based care, and collaborative treatment planning. We're looking for an Operations & Administrative Coordinator who enjoys creating structure, improving systems, supporting client experience, and helping a growing business run smoothly behind the scenes. Position Overview This is a part-time hybrid position that combines remote administrative work with occasional in-person responsibilities in the Portland metro area. Reporting directly to the Owner and Founder, you'll support scheduling, operations, project coordination, community outreach, and process improvement initiatives. This role is ideal for someone who enjoys bringing organization to moving pieces, solving problems, and helping great ideas become actionable plans. While many responsibilities can be completed remotely, occasional in-person support is required and may include mail pickup, studio organization, community outreach, networking visits, event support, and other operational needs. ResponsibilitiesClient Experience & Scheduling Manage scheduling, waitlists, and support treatment plan follow-through through Jane App Serve as a liaison between clients and providers across various communication channels Support calendars, scheduling logistics, and internal meetings Help oversee billing workflows, superbills, and service offerings Operations & Administrative Support Maintain SOPs, checklists, spreadsheets, and internal documentation Support project management and workflow organization through Monday.com and Google Workspace Help improve systems, processes, and operational efficiency Assist with administrative projects and day-to-day operations Community Outreach & Marketing Support Coordinate outreach to healthcare providers, fitness professionals, and local businesses Deliver marketing materials and maintain referral relationships Assist with newsletters, Mailchimp, Canva, website updates, and client communications Studio Support Assist with mail pickup and occasional studio needs Support workshops, events, and community initiatives Who You Are You enjoy creating clarity, structure, and organization. Compensation & Schedule Compensation:
$28-32/hour

Approximately 15-25 hours per week

Monday through Friday with availability during regular business hours
