Administrative & Communications Coordinator Elderslie Hospitality Group, LLC Part-Time | Approximately 10-15
Hours Weekly Compensation:
$300/week Elderslie is seeking a thoughtful, organized Administrative & Communications Coordinator to support the day-to-day administrative and guest communication needs of our hospitality group. This role is ideal for someone who enjoys detail-oriented work, communicates warmly and professionally, and can manage multiple moving pieces with care and consistency. While much of the role can be completed remotely, we do ask that this person visit the property at least once weekly, ideally on Fridays, to complete light onsite tasks such as collecting mail, menu printing, and other administrative support as needed. This is a part-time support role focused primarily on communications, coordination, reservation management, and administrative upkeep across Elderslie's hospitality operations.
Responsibilities Include:
Update voicemail recordings, website information, Google listings, OpenTable, and social media messaging to reflect current offerings and hours Draft and send weekly Tuesday guest email communications Coordinate social media execution alongside Elderslie's social media coordinator Respond thoughtfully to guest concerns and negative OpenTable reviews when appropriate Manage incoming private event inquiries and route leads to the Event Coordinator Oversee reservation management in OpenTable, including pacing adjustments, availability, and large party coordination Answer phones during designated "on" hours through our phone application (Ooma) and return voicemails promptly Coordinate seasonal menu transitions, including timeline management, testing coordination, wine pairing scheduling, and print coordination with external vendors Coordinate and print table materials including appetizer cards and Chef's Additions inserts Participate in a weekly Tuesday check-in meeting with ownership to align on priorities and upcoming needs Onboard new team members in Intuit/QuickBooks and Square after receiving hiring information Run bi-weekly payroll, confirm back-of-house hours, and allocate hours appropriately Pay and manage invoices Visit the property weekly to collect and distribute mail, respond to administrative correspondence as appropriate, and assist with light onsite support tasks
The Ideal Candidate:
Highly organized and dependable Comfortable balancing administrative work with guest-facing communication Strong written communication skills and attention to detail Able to manage shifting priorities calmly and professionally Comfortable working independently while staying in communication with leadership Familiarity with hospitality, restaurants, or event environments is preferred Experience with platforms such as OpenTable, Square, QuickBooks, Mailchimp, Google Workspace, or similar systems is a plus
Schedule & Expectations:
Approximately 10-15 hours weekly Flexible scheduling, though Tuesday availability for weekly check-ins is preferred Weekly onsite visit required (ideally Fridays)
