Job Description
The Illinois State Bar Association is the premier legal association in the state. As a voluntary organization, the Association's primary focus is to help Illinois lawyers practice more efficiently by providing time and money-saving services, practice resources and continuing education. ISBA Law Ed is the premier provider of Continuing Legal Education (CLE) for Illinois attorneys and provides the best CLE to enhance professionalism and to promote the successful practice of ISBA members. We are seeking an experienced administrative professional with expert computer, database and organizational skills for a position in our Springfield headquarters as Registration and Administrative Coordinator in our Continuing Legal Education department. The ISBA offers a hybrid work environment that consists of a minimum of 2 days in office and the other days from home. Essential Job Functions Set up programs in CLE database and process program registrations received by mail, telephone and electronic means. Verify and send registration confirmations and other pre-program information to program registrants. Set up and retrieve/process sponsorship funds in database. Reconcile funds received for programs, including monthly reports. Maintain database on CLE program attendance/order history/section and committee history. Manage telephone and electronic inquiries about programs, credit, certificates, and other general CLE issues. Monitor online chat service one day per week and assist other days as needed. Invoice non-paid registrants and process refund requests for approved cancellations. Adjust

credit for attendance for live onsite programs in LMS, close program. Import CLE attendance credits to PCAM (MCLE Board) as required for monthly compliance. Assist in sending periodic credit tracking reports to members, responding to tracking inquiries. Coordinate tabulation of program evaluations. Coordinate and assist in administration of ISBA Mentoring Program. Monitor and reply to credit tracking and course registration email inboxes. Answer a wide range of correspondence, email, and telephone inquiries. Requirements Ability to work well in a fast-paced environment as a team player Ability to manage multiple projects at once Ability to learn and work in multiple computer database environments Ability to communicate effectively with professionals A high level of initiative Detail oriented Excellent work ethic Excellent customer service, organizational and record keeping skills Proficiency with Microsoft Word and Excel This position requires travel to events throughout Illinois, generally 2-3 times per month, and occasionally outside of Illinois, 2-3 times per year, to provide on-site CLE program coordination. Travel may require overnight stays and transport of program materials. Occasional weekend and evening travel may be required.
