Prevention Program (DHAPP) Strategic Information (SI) Branch. DHAPP supports the U.S. Department of Defense's contribution to the President's Emergency Plan for AIDS Relief (PEPFAR), advancing global
HIV/AIDS
prevention, care, treatment, and support programs. The Strategic Information Administrative Support Specialist provides project support and administrative assistance to Strategic Information Advisors and supports coordination of SI activities across DHAPP headquarters and field operations. The position serves as an operational coordination and workflow support role responsible for assisting with meeting management, report preparation, data organization, document maintenance, systems support coordination, and branch administrative functions. This position supports SI branch operations through coordination of schedules, reports, communications, workflow tracking, and maintenance of Strategic Information products and resources. The position will be based in San Diego, California, supporting DHAPP headquarters operations. Duties and Responsibilities The Strategic Information Administrative Support Specialist shall provide administrative and operational support to the Strategic Information Branch, including but not limited to: Branch Coordination and Administrative Support Provide administrative support to Strategic Information Advisors and SI leadership. Coordinate and schedule SI branch activities and meetings. Prepare meeting agendas, coordinate meeting logistics, and record meeting minutes. Maintain SI activity schedules and workflow calendars. Coordinate with other DHAPP administrative personnel to support branch and organizational workflow. Serve as a primary contact point for SI administrative activities and coordination. Reporting and Documentation Support Lead coordination and preparation of SI reports and branch outputs. Support development and maintenance of annual reports, educational materials, and technical documentation. Assist with word processing, formatting, editing, and publication of reports and branch products. Prepare and maintain correspondence, communication files, briefing materials, and trip reports. Assist with preparation and maintenance of database files and program documentation. Information and Systems Organization Organize and maintain SI data repositories, SharePoint resources, W-drive folders, and communication files. Support organization and maintenance of DHAPP University products and SI resource libraries. Maintain DC2 contact lists, email directories, and communication rosters. Support SI workstreams through coordination, information management, and data entry activities. Assist with maintaining records and tracking systems supporting SI branch operations. Project and Workflow Support Manage SI workstreams through coordination and administrative tracking. Support planning and execution of Program Manager training activities and related events. Coordinate flowcharts, workplans, schedules, and operational tracking tools. Collaborate with DHAPP Program Managers, U.S. Government headquarters staff, implementing partners, and host-country personnel as required to support SI activities. Participate in SI meetings, DHAPP staff meetings, and branch coordination activities. Operational and Team Support Provide support for branch communications and information dissemination. Assist SI personnel with data entry, administrative processing, and document preparation. Support continuity of operations through maintenance of organized files, records, and workflow systems. Perform additional administrative and program support duties as assigned. Qualifications and Requirements Associate's degree required; Bachelor's degree preferred in Business Administration, Public Health, Information Management, or related field. Minimum two (2) years of administrative, project support, or program coordination experience. Experience supporting U.S. Government, military, public health, or international programs preferred. Demonstrated experience supporting meetings, scheduling, reporting, and administrative coordination. Experience maintaining electronic filing systems, shared drives, SharePoint, or similar information management platforms preferred. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, Teams, and PowerPoint. Strong organizational and administrative skills with the ability to manage multiple priorities simultaneously. Excellent written and verbal communication skills. Ability to work independently with minimal supervision while functioning effectively within a team environment. Experience preparing professional reports, meeting minutes, and correspondence with minimal editorial review preferred. Ability to maintain confidentiality and professionally coordinate with internal and external stakeholders. Demonstrated flexibility and adaptability to changing mission requirements and priorities.
