Job Description

Patient Account Supervisor Job Description The Patient Account Supervisor is responsible for overseeing the day-to-day workflow, training, and support of Patient Account Representatives (PARs) while ensuring scheduling, collections, and client communication processes are maintained efficiently and professionally. This role serves as a liaison between administrative staff, scheduling, billing teams, and management to help support operational consistency across the practice. The Patient Account Supervisor works closely with the Practice Director and management team regarding workflow oversight, collections processes, escalated client concerns, and administrative operations.
ESSENTIAL DUTIES & RESPONSIBILITIES
Supervise and support Patient Account Representatives (PARs), including training new hires, monitoring workflow and task completion, assisting with daily coverage needs, and addressing performance concerns through coaching and support Oversee communication and workflow coordination with the billing team to ensure follow-up tasks and processes are maintained appropriately Maintain and oversee scheduling workflow tools and tracking systems, including scheduling spreadsheets, clinician availability guides, new client tracking, caseload-building priority tracking, and accuracy of scheduling-related documentation Oversee and ensure timely completion of clinician-initiated administrative requests submitted to the scheduling team, including wellness checks, client transfers, emergency cancellations, and other clinician requests communicated via email Oversee and assist with client balance collection processes to help ensure balances are addressed in a timely and professional manner Collaborate with the Practice Director regarding internal collections procedures and administrative account workflows Handle escalated client concerns including balance or billing-related questions, scheduling complaints, and administrative service concerns Escalate significant concerns to the Practice Director, including client complaints involving clinicians or staff, concerning client interactions, improper communication concerns, and employee-related matters requiring management review Coordinate clinician departure transitions by collaborating with departing clinicians, generating client scheduling/transition lists, and assisting staff with continuity-of-care communication Serve as backup support for the Medical Records department as needed, including assisting with records requests and helping maintain timely and compliant handling of records Perform medical billing-related activities Assist with additional operational and administrative responsibilities as assigned by management
QUALIFICATIONS
Bachelor's degree preferred Medical Billing experience preferred Strong organizational and communication skills Ability to manage multiple workflows and prioritize tasks effectively Exceptional customer service skills with the ability to navigate sensitive client interactions with professionalism, empathy, and a solutions-focused approach Strong critical thinking skills with the ability to assess situations independently and exercise sound judgment with minimal supervision Ability to work independently with a high degree of self-direction and accountability Professional conflict resolution and de-escalation skills Ability to maintain confidentiality and professionalism in sensitive situations Leadership or supervisory experience preferred Experience in healthcare, behavioral health, scheduling, billing, or administrative operations preferred
WORK ENVIRONMENT
This position requires collaboration with administrative staff, scheduling teams, billing teams, clinicians, and management in a fast-paced healthcare environment. The role may involve handling sensitive client and employee concerns and requires professionalism, discretion, and strong problem-solving skills.
Pay:
$45,000.00 per year
