Job Description

We are a local, family-oriented Real Estate business looking for an Administrative Assistant to join our team. The ideal candidate will be well spoken, detail oriented, trustworthy, and able to multitask in a high stress environment. We are looking for a highly organized and detail-oriented Real Estate Transaction Coordinator to manage the administrative side of real estate transactions from contract to close. This role ensures all deadlines are met, paperwork is properly completed, and communication between buyers, sellers, agents, lenders, and title companies runs smoothly. The ideal candidate thrives in a fast-paced environment, excels in multitasking, and is committed to providing exceptional support to our agents and clients.
Essential Job Functions:
Transaction Management:
Oversee the entire contract-to-close process for real estate transactions. Ensure all documents are properly executed, submitted, and compliant with regulations. Monitor and track important deadlines, including inspections, appraisals, financing, and closing. Work closely with agents, title companies, lenders, and attorneys to facilitate a smooth closing.
Communication & Client Support:
Serve as the main point of contact for buyers, sellers, and all involved parties throughout the transaction. Provide regular status updates to agents and clients, ensuring transparency and efficiency. Coordinate and schedule necessary appointments, such as inspections, appraisals, and closings.
Administrative & Compliance Duties:
Review contracts for accuracy and completeness before submission. Maintain organized records of all active and closed transactions. Ensure all files comply with brokerage and real estate commission regulations. Assist with obtaining signatures and distributing necessary paperwork. +
Qualifications & Skills:
Prior experience as a real estate transaction coordinator, administrative assistant, or similar role is preferred. Strong knowledge of real estate contracts, forms, and compliance requirements. Proficiency in transaction management software, MLS systems, and document management tools. Excellent communication, organizational, and problem-solving skills. Ability to work efficiently in a fast-paced, deadline-driven environment. A team player with a proactive and customer-focused mindset. Good phone etiquette and communication skills Solid computer skills, including MS Office, & Google Ability to adapt to varying tasks in an evolving industry Time Management/Multi-Tasking Experience in Customer Service/Support Valid Driver's License and Current automobile insurance Real Estate Experience is a plus, but not required
