Job Description

Overview Cityview Magazine is seeking a highly organized, dependable, and adaptable Operations & Administrative Coordinator to assist with day-to-day business operations, project coordination, scheduling, client communication, and administrative support. This role serves as a key support position helping manage the fast-paced workflow of a growing media and operations environment. The ideal candidate is proactive, detail-oriented, able to multitask effectively, and comfortable handling a wide variety of responsibilities ranging from administrative duties to production coordination and client communication. Duties Assist with daily administrative and operational tasks to support overall business workflow and project management. Coordinate schedules, meetings, deadlines, and internal communications across multiple ongoing projects and departments. Communicate with clients, advertisers, vendors, and contributors regarding materials, approvals, scheduling, invoicing, and project updates. Assist with organization and tracking of invoices, payments, spreadsheets, records, and production-related documents. Support editorial, social media, advertising, and event coordination efforts by helping manage timelines, deliverables, and communication. Help maintain organized digital filing systems, project trackers, calendars, and operational workflows. Assist with coordinating print production schedules, ad deadlines, distribution logistics, and event preparation when needed. Provide general office support including correspondence, research, data entry, and miscellaneous operational tasks. Experience Previous administrative, operations, project coordination, office management, or executive assistant experience preferred. Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously. Excellent written and verbal communication skills with strong attention to detail. Comfortable working in a fast-paced environment with shifting priorities and responsibilities. Proficiency in Microsoft Office, Google Workspace, spreadsheets, email communication, and basic organizational software. Ability to problem solve independently, prioritize tasks effectively, and maintain professionalism under pressure. Experience in media, publishing, marketing, construction, small business operations, or client services is considered a plus. This role is ideal for someone who thrives in a dynamic environment, enjoys helping keep operations organized and moving efficiently, and is looking to grow within a multifaceted business setting.
Pay:
$35,000.00 - $40,000.00 per year
