The Administrative Support Coordinator (Field Office) serves as the primary administrative support to the Sr. Project Manager and acts as the key liaison between corporate departments and Field Operations. This position plays a critical role in coordinating the onboarding process, and facilitating timely communication between the field, HR, Payroll, Safety, and other departments. The ideal candidate is highly organized, proactive, detail-oriented, and thrives in a fast-paced construction environment. This position requires strong communication skills, the ability to manage multiple priorities simultaneously, and fluency in both English and Spanish.
Primary/Essential Responsibilities and Duties:
- Serve as the primary administrative support to the Sr. Project Manager by assisting with daily administrative and project coordination activities.
- Coordinate the onboarding process by collecting required documentation, monitoring completion of onboarding requirements, and communicating with HR, Payroll, Safety, and Operations to ensure employees are fully onboarded and job-ready.
- Serve as the primary communication link between Corporate departments and Field Operations by obtaining, communicating, and following up on information needed to support payroll, HR, safety, compliance, and project administration.
- Assist Payroll and HR by obtaining missing information, and resolving timekeeping discrepancies.
- Scan and submit daily logs, PTO requests, and other required payroll documentation.
- Coordinate with onsite safety personnel to ensure new hire orientations and required onboarding activities are completed before employees begin work.
- Maintain organized electronic and paper filing systems.
- Provide general administrative support including document preparation, filing, scanning, ordering office supplies, scheduling, correspondence, and other administrative functions as needed.
- Build and maintain positive working relationships with field leadership, corporate staff, and employees to ensure timely communication and resolution of administrative issues.
- Perform other duties as assigned.
Job Qualifications:
- Bilingual (English/Spanish) required.
- Administrative support experience in construction, field office, or similar environment preferred.
- Strong organizational skills and attention to detail; ability to manage daily deadlines and multiple priorities.
- Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable learning new systems.
- Demonstrated ability to work independently, prioritize work, and follow tasks through to completion.
Physical Requirements and Working Conditions:
- Work is primarily in a field office environment with routine interaction with jobsite personnel.
- May occasionally work in or around active jobsite areas and equipment yards; must follow all safety requirements.
- Ability to sit/stand for extended periods and perform repetitive office tasks (computer work, filing, scanning).
- Occasional lifting/carrying of office supplies, files, or document boxes (up to 25-50 pounds).
