Job Description

JOB SUMMARY
ECR is seeking a highly organized and customer-focused Administrative Coordinator to support the day-to-day operations of our Property Management Division. This role is ideal for someone with a strong administrative background who enjoys multitasking, problem-solving, and working in a fast-paced professional environment. The position involves a blend of administrative coordination, customer service, vendor and tenant communication, document organization, and light accounting support. The ideal candidate is detail-oriented, proactive, professional, and comfortable managing multiple priorities while maintaining a high level of accuracy and organization. Prior commercial real estate experience is not required. Candidates with experience in office administration, operations coordination, customer service, executive support, bookkeeping, or similar administrative roles are encouraged to apply.
KEY RESPONSIBILITIES
Provide day-to-day administrative support to the Property Management team Answer phones and respond to emails professionally and promptly Assist with invoice processing, coding, and tracking Maintain organized vendor, tenant, and contract files Coordinate mail, deliveries, courier services, and office logistics Support tenant and vendor communication requests Assist with maintaining certificates of insurance and vendor documentation Help manage building access cards and tenant access requests Maintain accurate records and databases Assist with utility billing support and basic accounting-related tasks Coordinate special projects and administrative initiatives as needed Provide a high level of customer service to tenants, vendors, clients, and internal teams Qualifications 2+ years of administrative, operations, office support, customer service, or coordinator experience preferred Strong organizational and multitasking abilities Excellent verbal and written communication skills Strong customer service and interpersonal skills Detail-oriented with strong follow-through Comfortable working independently and within a team environment Proficiency in Microsoft Office, including Outlook and Excel Ability to manage multiple deadlines in a fast-paced environment Experience with property management or accounting software is a plus, but not required
