Job Description
Position Summary The Administrative Coordinator (AC) provides administrative, payroll, hiring, and compliance support to store leadership. This role ensures accurate daily back‑office operations, supports onboarding and training processes, and maintains compliance with company policies and regulatory requirements. The AC plays a critical role in supporting associates, maintaining confidential records, and ensuring smooth day‑to‑day administrative operations. The Administrative Coordinator is detail‑oriented, organized, and service‑focused, serving as a key resource for store leadership and associates. Key Responsibilities Administrative & Office Operations Perform daily administrative tasks including filing, documentation, and record maintenance Maintain accurate and confidential personnel files Support store leadership with reports, audits, and administrative communications Serve as a point of contact for associates regarding administrative questions Ensure back‑office organization and accuracy Payroll & Timekeeping Support payroll processes including timecard review, punch corrections, and time‑off entries Monitor timekeeping accuracy and escalate discrepancies as needed Ensure payroll is completed accurately and within required timelines Maintain strict confidentiality of payroll and associate pay information Partner with Store Director and ASD on payroll approvals and finalization Recruiting & Hiring Support Support recruiting processes including posting requisitions, scheduling interviews, and candidate communication Maintain candidate records and hiring documentation Coordinate onboarding appointments and orientation schedules Partner with store leadership to ensure hiring needs are supported Ensure hiring documentation is completed accurately and on time New Associate Onboarding & Training Facilitate new hire onboarding, including orientation and system setup Ensure completion of required onboarding paperwork and compliance training Track training completion and follow up on outstanding items Support onboarding checklists and documentation Assist new associates with system access and administrative questions I‑9 & E‑Verify Compliance Complete and/or support Form I‑9 processing in compliance with federal requirements Submit E‑Verify cases within required timelines Ensure I‑9 documentation is accurate, complete, and stored securely Escalate compliance issues or Tentative Nonconfirmation cases according to policy Maintain compliance with all hiring and employment eligibility requirements Compliance, Confidentiality & Records Maintain confidentiality of all associate and business information Ensure administrative compliance with company policies and procedures Support audits and compliance reviews as needed Secure sensitive documents, keys, and access as required Support to Store Leadership Partner closely with Store Director, Assistant Store Director, and PICs Provide administrative support during leadership coverage gaps Support store meetings, communications, and reporting needs Assist with special projects as assigned Scope of Authority Performs administrative and compliance tasks at store level Does not issue disciplinary action or make employment decisions Escalates associate relations, payroll disputes, and compliance issues to leadership Serves as a support role, not a decision‑making leadership role
Pay Transparency:
Starting rates will be no less than the local minimum wage and may vary based on things like location, experience, qualifications, and the terms of any applicable collective bargaining agreement. Candidates with unique qualifications may be considered for compensation above this range. Dependent on length of service, hours worked, any applicable collective bargaining agreement and/or Company policy, benefits may include medical, dental, vision, disability and life insurance, sick pay- , PTO/Vacation pay
