Job Summary Houston Machine and Thread is seeking a highly organized and detail-oriented Document Control & Administrative Coordinator to join our growing team. This role is essential in maintaining structured office operations, ensuring accurate documentation, and supporting various administrative functions. You'll work closely with our Sales and Operations teams to manage documentation, customer orders, vendor communications, and administrative workflows. The ideal candidate is proactive, organized, and thrives in a fast-paced environment. Experience managing records in a manufacturing or industrial setting is a plus. Experience with Material Test Reports and Certificates of Conformance is a plus. Specific fastener or metals experience is a plus. It's an important position with room to grow as the company expands. You'll make an impact every day. Responsibilities Prepare, review, and manage sales orders, purchase orders, and customer documentation. Support Sales with order entry, acknowledgements, and follow-ups. Maintain accurate, up-to-date records of customer orders, vendor POs, shipping documents, and production paperwork. Assist with order tracking, data entry, and reporting using JobBoss2 and Excel. Coordinate with vendors, customers, and internal departments to ensure documentation accuracy and customer satisfaction. Communicate updates between Production and Sales. Manage general office administration, filing, and workflow organization. Answer phones and greet walk-ins and visitors in a professional manner. Support leadership and team members with projects, reporting, and other administrative needs. Skills & Qualifications Strong organizational and multitasking abilities with excellent attention to detail. Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with ERP systems (JobBoss2 preferred - training available). Understanding of
ISO 9001
standards and document control best practices (preferred - training available). Strong written and verbal communication skills. Ability to work independently and as part of a team, managing priorities in a fast-paced environment. Experience in manufacturing, machining, or related industries is a plus.
