Job Description

Job Summary We are seeking an energetic and highly organized Administrative Coordinator to join our dynamic team. In this pivotal role, you will streamline office operations, manage administrative tasks, and provide exceptional support to ensure the smooth functioning of our organization. Your proactive approach and excellent communication skills will help foster a productive work environment, enhance customer support, and maintain efficient office workflows. Responsibilities Serve as the front desk ambassador, greeting visitors and managing multi-line phone systems with professionalism and courtesy Handle calendar management, scheduling appointments, meetings, and coordinating events with precision Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records Provide customer service support by answering inquiries via phone or email promptly and effectively Utilize computer skills including Microsoft Excel Assist with bookkeeping duties such as invoicing, purchase orders, and basic data entry Enter production and operational data from paper reports into spreadsheets and company systems. Scan, file, and maintain company records. Assist accounting, production, and shipping departments with administrative support. Prepare reports and spreadsheets using Microsoft Excel. Maintain organized electronic and physical filing systems. Support special projects and general office operations Requirements Proven office management or administrative experience with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Experience with Sage 50/Peachtree similar accounting software is highly desirable Excellent phone etiquette and customer service skills; bilingual abilities are a plus Strong typing speed and data entry skills to handle clerical tasks efficiently Familiarity with multi-line phone systems and front desk operations in a professional setting Ability to manage multiple priorities effectively while maintaining attention to detail Demonstrated time management skills with the ability to meet deadlines consistently Join us as an Administrative Coordinator and become an integral part of a vibrant team dedicated to excellence!
