Job Description

Position Overview:
We are seeking a highly organized and proactive Part-Time Administrative Coordinator to join our team. This position plays a crucial role in ensuring the smooth operations of our offices. This position combines core administrative duties with hands-on tasks. This position is not benefits-eligible. Our office is located in downtown Charlottesville, and we have a collaborative and dynamic team culture. Essential Duties and Responsibilities
  • Design and implement efficient administrative processes to improve workflow and productivity.
  • Manage office supplies and equipment, including inventory tracking, ordering, and vendor coordination.
  • Coordinate schedules, meetings, and appointments for staff and executives, including meeting logistics.
  • Handle incoming and outgoing correspondence (emails, mail, phone calls), ensuring timely and professional communication.
  • Support staff and executives with administrative tasks, travel arrangements, expense reports, and project coordination.
  • Run errands and provide support for additional needs, including coordination of deliveries and shopping as required.
  • Maintain and update office records, files, and databases with accuracy and confidentiality.
  • Other duties as assigned.
Qualifications:
  • Valid Driver's License with a clean driving record; active automobile insurance policy required; comfortable driving for errands and supply runs.
  • Demonstrated reliability, punctuality, and strong work ethic.
  • High level of discretion and ability to handle confidential information.
  • Basic budgeting and expense tracking skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • Experience in using web-based teleconferencing (such as Zoom or Teams) and general office technology.
  • Must sign a confidentiality agreement.
Education and Experience:
Associate or bachelor's Degree required. Minimum of 3 years of administrative or office coordination experience preferred.
Work Schedule:
Monday through Friday, 8:30 am to 1:00 pm. May occasionally include weekends, holidays, and other non-standard work hours as needed.
