Administration and Communications Coordinator Kitsap History Museum 280 4th Street Bremerton, WA For over 78 years, the Kitsap County Historical Society has been connecting our community with the stories of Kitsap County. As a 501(c)(3) nonprofit, we tell those stories through artifacts, exhibits, and programs at the Kitsap History Museum (KHM) and through events throughout the county. We actively work to ensure our collections, exhibits, and programs represent every community in Kitsap County.
Primary responsibilities are to:
ADMINISTRATION
Serve as the primary point of contact at the front desk: greet visitors, handle phone, voicemail, email, and mail correspondence, and open and close the museum. Manage gift shop sales through Square, track inventory, maintain tidy appearance of Museum Gift Shop and re-order items from vendors as needed. Manage event registrations through Bloomerang and Auctria. Provide administrative and operational support to the Executive Director, including scheduling, vendor coordination, office supply management, and light office upkeep. Process donations and maintain and update donor and membership database in CRM. Provide administrative and logistical support for annual appeals, galas, and other fundraising events. Coordinate Community Case exhibit scheduling with community groups, and manage public research inquiries — coordinating with the Collections & Exhibits Associate to ensure timely responses. Coordinate volunteer recruitment, onboarding, scheduling, and day-to-day communication across all KHM program areas. Train and support additional front desk coverage by volunteers, front desk associates, and board members. COMMUNICATIONS
Collaborate with the Executive Director to create and distribute content for social media, newsletters, and promotional graphics — including KHM's signature programs such as History Uncorked, 2nd Saturday Kids' Day, and Eat Your Way Through Kitsap History. Update the museum website calendar and event calendars; coordinate bulk mail and email campaigns; and work with vendors on print and digital materials. Assist in bulk mailing and email campaigns for marketing and fundraising. Help document and promote KHM's collections, artifacts, and history for public audiences. Other duties as assigned. Schedule:
Required:
Thursday, Friday, and Saturday during the museum's open hours (currently 11 AM-4 PM). Approximately 5 additional hours per week, arranged with the Executive Director — ideally as time before opening and/or after closing on those days to work alongside the Executive Director when the museum is closed, plus occasional evening or weekend coverage for monthly History Uncorked talks, fundraisers, and special events. Strong organizational abilities, punctuality, and attention to detail. Ability to multitask and work effectively both independently and as part of a small team. Comfortable working in a dynamic environment with frequent visitor interactions and shifting priorities. Proficient in Microsoft Word and Excel; demonstrated ability to learn new software quickly. Self-confident with the ability to work well with the public, staff, volunteers, trustees, and vendors. Clear, professional written and verbal communication skills for public-facing correspondence and outreach. Commitment to Diversity, Equity, Accessibility, and Inclusion (DEAI) practices. Preferred Qualifications Previous experience in a museum, archive, library, or nonprofit setting — paid or volunteer. Experience coordinating, training, or supporting volunteers. Experience with CRM systems and donor or membership database management. Experience supporting fundraising events, donation appeals, or other development activities. Skills in WordPress, Adobe Creative Suite, Canva, or other digital content tools. Familiarity with social media management and email communications platforms. Background or coursework in communications, nonprofit administration, history, museum studies, or a related field.
