Job Description

We are looking for a detail-oriented Administrative Coordinator to provide high-level support to our Construction, Design, and Development Team in Menomonee Falls, Wisconsin. This role requires exceptional organizational skills and the ability to handle sensitive information with professionalism and discretion. As a Contract to permanent position, this opportunity offers the potential for long-term growth within the organization.
Responsibilities:
  • Direct incoming inquiries from the company website to the appropriate team members.
  • Collect, review, and distribute departmental mail on a daily basis.
  • Manage invoicing, check requests, and budget updates using relevant software systems.
  • Coordinate travel arrangements, event registrations, and expense reporting for team members.
  • Maintain and order department office supplies, ensuring inventory is well-stocked.
  • Schedule and prepare materials for meetings, including documenting notes and follow-up actions.
  • Support the Executive Team by managing calendars, booking travel, and handling expense reports.
  • Organize department events, milestones, and celebratory gatherings.
  • Oversee department-wide data entry, ensuring accuracy and timeliness for ongoing projects.
  • Maintain and update department templates, SharePoint sites, and document libraries.
