Reports To Education/Qualifications Associate degree preferred. Knowledge, Skills & Abilities Maintain strict confidentiality. Communicate effectively both orally and in writing with a diverse range of individuals and groups. Ability and temperament to work with the broad spectrum of students found in a community college environment. Analyze and solve problems. Demonstrate strong computer operations and applications Adhere to college policies and procedures. Work as a team member and foster a cooperative work environment. Coordinate with the Nursing Program faculty and staff, as well as other college-wide departments. Demonstrate strong organizational and composition skills. Skilled with the following software is preferred: Windows, Microsoft Office (Word, Excel, and PowerPoint), Adobe Acrobat, Zoom, Survey Monkey, Canvas, Google Docs, Perceptive Content, Datatel/Colleague, CROA, portal software, CastleBranch. Responsibility/Duty General Office Support:
Manages emails and physical mail; maintains correspondence, answers and directs phone calls, performs data entry, schedules courses, documents and organizes spreadsheets; coordinates equipment, signage, supplies; inventorying; assures facilities are in good working condition and appearance; facilitates key requests; schedules nursing/health science courses and related activities through college systems. Monitors purchasing and budget transactions for Nursing Department and Nursing Club, including travel and catering expenditures; updates documents and web pages; uses approved resources to update and create surveys. Updates and maintains contracts and agreements; uses college systems to gather data and statistics; performs data entry; monitors program publications and updates program information sheets; promotes customer satisfaction by acting as a liaison with students, staff, faculty, and community members; purges and shreds outdated materials; maintains historical documents in a confidential manner. Percentage of time 35
Responsibility/Duty Student Support:
Advises, meets and coordinates with prospective students; manages prospective applicants and for admission to the nursing program; processes and verifies application information; utilizes college systems to obtain student transcript information; monitors completion of degree requirements etc.; monitors nursing student academic progress and participate in group advising sessions throughout each semester; communicates with students as they progress through the nursing program; maintains student semester records and assists with changes of status as needed; confidentially maintains student and advisee files. Organizes a college wide nursing student orientation for each new cohort; coordinates onboarding of students to college and clinical facilities.
Collects student documentation:
transcripts, immunization records, CPR cards, HESI scores, background checks, grades, financial aid data, student health records, urine drug screens, clinical paperwork, etc.; schedules and conducts department tours; assists with student scholarship coordination; arranges for student testing (entrance, advanced placement, testing accommodations, others); supports/assists with nursing club activities. Percentage of time 25
Responsibility/Duty Faculty Support:
Prepares agendas and records minutes for meetings; organizes electronic files for program support; loads and monitors applicable documents; orders and maintains teaching supplies and equipment, including technology-related materials; proctors exams in absence of instructor. Posts and maintains program materials in shared drive or cloud service, including curriculum documents as directed; assists faculty with professional development requests; manages student testing software; coordinates room scheduling for classes and other teaching/non-teaching activities; assists with applicable faculty orientation; communicates student needs/concerns to faculty advisors; provides support for faculty special projects; works with faculty on procuring teaching materials. Percentage of time 25
Responsibility/Duty Administrative Support:
Records and tracks student information and statistics for program reporting and for marketing; works with Admissions and Records offices; uses approved software and programs to access and review transcripts, GPA, schedules, and student profile information; attends department meetings and advisory board meetings; takes meeting minutes and distributes in a timely manner; assists with preparation of reports for state and national agencies; assists with collection of information and compilation of data for the accreditation process for both the Accreditation Commission for Education in Nursing and the Wyoming State Board of Nursing; collects data for the Systematic Program Evaluation; assists with special projects for the college and/or department; assists with program recruitment activities; organizes pinning ceremonies. Percentage of time 5
Responsibility/Duty Relationships:
Works with and maintains good relationships with the faculty & staff, including the Business Office, Records, Admissions, Advising and Facilities; works closely with clinical partners and program advisory board.
