Senior eBilling Collections Coordinator Cooley LLP life insurance, parental leave, paid time off, paid holidays United States, D.C., Washington Apr 29, 2026 Senior eBilling Collections Coordinator Cooley is seeking a Senior eBilling Collections Coordinator to join the Accounting & Finance team.
Position summary:
The Senior eBilling Collections Coordinator is responsible for the collection of firmwide client accounts receivable submitted through electronic billing platforms, managing the full invoice lifecycle from portal submission through payment resolution. Working across multiple client e-billing systems, this role is the firm's primary point of contact for outstanding balances, invoice disputes, and payment escalations, ensuring timely collections while maintaining strong client relationships. Specific duties and responsibilities include, but are not limited to, the following: Position responsibilities: Monitor and manage outstanding receivables across multiple client eBilling platforms (Tymetrix, LegalTracker, Collaborati, CounselGo, etc.) and proactively identify delinquent and short paid balances to prioritize collections efforts Track status, document and resolve issues for invoice reductions until all appeal options are exhausted and/or any residual write-offs are processed Collaborate with billers, attorneys, and clients to resolve billing issues, resubmit invoices, and appeal disputed amounts as needed Manage the appeals process endtoend, including understanding clientspecific submission deadlines and submitting appeals in accordance with Cooley best practices Internal point of contact for e-billing collections, overseeing and maintaining visibility into all firmwide e-billed accounts regardless of collector assignment, ensuring timely follow-up and escalation across the department Collaborate with and provide guidance to fellow collectors on e-billing portal navigation, invoice dispute resolution, and payment escalation strategies, promoting consistent and effective collection practices across the team Investigate short payments and reductions within client eBilling systems, escalating as necessary to ensure timely resolution Research client payment histories across e-billing platforms to identify patterns of late payment, chronic reductions, or non-compliance with agreed billing arrangements Keep responsible attorneys and billing partners informed of collection activity, problem accounts, and outstanding balances requiring their attention or intervention Negotiate and monitor informal payment arrangements and formal payment plans, tracking agreed-upon terms and following up to ensure adherence Identify accounts requiring write-off, transfer to suspense, or escalation to outside collection counsel, and gather documentation necessary to proceed Obtain necessary approvals for accounts receivable write-offs and suspense transfers and process accordingly Refer accounts with bankruptcy implications to the firm's Bankruptcy Partner for further direction and collection strategy Maintain detailed and accurate collection notes and activity logs within the firm's billing and collections systems All other duties as assigned or required Skills and experience:
Required:
After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications Available to work overtime, as required 3+ years direct applicable experience (e.g., previous collections experience)
Preferred:
Prior 3E experience Bachelor's Degree with an emphasis in accounting Prior law firm experience

EOE. The expected hourly pay range for this position with a work schedule of 40 hours per week is $43.50 - $64.00 ($90,480.00 - $133,120.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
