We specialize in memo programs, consignment inventory, and custom manufacturing. Our business is fast-paced, inventory-intensive, and relationship-driven — and accurate financials are critical to our growth. We are seeking a highly organized and detail-oriented Bookkeeper & Collections Specialist to fully manage the company's day-to-day accounting, receivables, and inventory tracking, and to coordinate directly with ownership and our CPA. This is a long-term role for someone who wants to become an integral part of a growing jewelry company. You will be responsible for maintaining clean, accurate, CPA-ready books at all times while also actively managing receivables and tracking inventory movement across memo, consignment, and wholesale sales. This is not a data-entry role — you will effectively function as the company's internal accounting department. Responsibilities Accounting & Bookkeeping Maintain complete books in QuickBooks (Online or Desktop) Daily transaction entry and categorization Bank, credit card, and payment processor reconciliations Record all sales, payments, deposits, refunds, and adjustments Monthly closing of books Maintain accurate financial statements (P&L, Balance Sheet, Cash Flow) Prepare monthly reporting package for ownership Deliver clean books to CPA for tax filings and year-end reporting Track cost of goods sold (COGS) accurately Accounts Receivable & Collections Monitor all outstanding invoices and customer balances Send statements and payment reminders to retail customers Follow up on overdue accounts via email and phone Manage payment plans and partial payments Record incoming wires, ACH, checks, and credit card payments Maintain customer credit limits and flag risky accounts Report weekly A/R aging to management (

Inventory Management Track finished jewelry and loose diamond inventory Monitor memo and consignment inventory with retailers Reconcile inventory sold vs returned vs in-stock Record manufacturing costs and item costs Maintain SKU-level inventory in QuickBooks and inventory sheets Investigate discrepancies and missing items Assist with periodic physical inventory counts Calculate and maintain accurate gross margins Coordination & Reporting Communicate directly with owner regarding financial status Coordinate with external CPA and provide requested documentation Prepare sales tax reports and assist with filings Identify bookkeeping errors or operational inefficiencies Help implement better financial controls Requirements 3-5+ years bookkeeping/accounting experience Advanced QuickBooks proficiency (REQUIRED) Strong reconciliation skills Experience managing Accounts Receivable and collections Strong Excel / Google Sheets skills Ability to work independently and take ownership Excellent organizational skills and attention to detail Professional written and verbal English communication Strongly Preferred•Jewelry, diamond, manufacturing, wholesale, or inventory-heavy business experience Experience with memo/consignment inventory Understanding of COGS and margins Experience working with U.S. companies and CPAs Experience managing multi-state sales tax Hindi language proficiency
