Job Description

Billing / Data Entry SpecialistPosition Summary We are seeking a detail-oriented and organized Billing / Data Entry Specialist to support daily administrative, accounting, and operational functions. This position is responsible for maintaining accurate job and billing records in Accounting Software, processing service department tickets, assisting with invoicing and accounting functions, and ensuring the accuracy of operational and financial data across multiple systems. The ideal candidate is dependable, highly organized, professional on the telephone, and comfortable working with accounting software, databases, Microsoft Excel, and third-party business applications. This role plays a critical part in maintaining accurate financial records, supporting service operations, and contributing to the overall efficiency of the organization. Essential Duties and Responsibilities Sales Orders, Service Tickets, and Job Setup Set up sales orders and jobs in Accounting Software. Bill and process service department tickets accurately and timely. Review service tickets, labor, materials, and supporting documentation for completeness and accuracy prior to billing. Ensure all job and ticket information is accurate and properly documented. Maintain synchronization between Accounting Software and timekeeping systems. Review and update job records as needed. Assist with order entry and customer account maintenance. Billing and Accounting Support Set up and process customer invoices and cost invoices. Process billing transactions accurately and timely. Verify billing information by reviewing invoices, receipts, service tickets, and supporting documentation. Assist with accounts receivable activities and general accounting support. Maintain organized accounting, customer, and job documentation. Support month-end reporting, reconciliations, and financial record maintenance. Maintain confidentiality of company financial information. Data Entry and Reporting Enter, update, and maintain accurate operational and financial data in company systems. Perform high-volume data entry with a strong focus on accuracy and attention to detail. Review records for completeness and accuracy. Collect, compile, and update information related to jobs, service work, customer accounts, and billing activities. Generate reports and track project information for management review. Utilize Microsoft Excel to create spreadsheets, pivot tables, reports, and perform basic calculations. Software and System Administration Utilize and navigate Accounting Software and multiple third-party software platforms efficiently. Maintain accurate electronic and physical filing systems. Update Trainual documentation and procedures related to assigned responsibilities. Assist with maintaining system data integrity and operational records. Administrative and Office Support Answer and direct incoming telephone calls professionally and courteously. Communicate effectively with customers, vendors, service technicians, and internal staff. Provide general administrative support to staff and management. Schedule travel arrangements for service department employees. Assist with special projects and operational initiatives as assigned. Additional Responsibilities Perform other duties as assigned. Support team operations and departmental goals. Participate in process improvement initiatives that enhance operational efficiency and data accuracy. QualificationsRequired Qualifications High school diploma or equivalent. Strong computer proficiency, including Microsoft Office and Excel. Excellent organizational and time management skills. Strong attention to detail and accuracy. Comfortable speaking professionally on the telephone. Ability to learn and effectively use multiple software systems and third-party applications. Strong written and verbal communication skills. Ability to manage multiple tasks and deadlines. Ability to work independently and collaboratively as part of a team. Basic math skills and understanding of financial documentation. Preferred Qualifications Associate degree in Accounting, Business Administration, or a related field. Previous experience in billing, bookkeeping, accounting support, administrative support, or data entry. Experience with Accounting Software or similar accounting and ERP systems. Experience with construction accounting, service billing, or job costing. Familiarity with timekeeping or workforce management systems. Understanding of invoicing, accounts receivable, service ticket billing, and general accounting practices. Work Environment Office-based position. Regular use of computers, telephones, and office equipment. May require occasional lifting of office supplies up to 25 pounds. Standard business hours with occasional overtime as needed.
