Full Job Description Position Overview:
The Administrative Specialist will be responsible for full cycle management and documentation related to scrap metal deliveries. The role will also be responsible for managing sales order entries and vendor payables. This position will report directly to the Office Manager.
Summary of Responsibilities:
Administer and execute complete sales contract lifecycle Manage and organize billing related documentation and manage consumer communication Review and evaluate billing weight variances Complete, update and post shippers; finalize billing Access online portals to retrieve consumers' weight tickets and use them to finalize deliveries Ensure a successful posting process, address errors and posting failures Correspond and coordinate with internal team members Monitor and manage vendor invoices Assist with the PO entry process Collaborate with purchasers and Accounts Payable to ensure seamless and prompt payments Other duties as assigned
Desired Characteristics:
Associate or bachelor's degree Work experience in a professional setting Capacity to learn and retain complex information, terminology, policies and procedures Ability to prioritize, multi-task and organize to help meet established deadlines Ability to work independently and/or within a team setting Effective communication skills - both written and oral
Minimum Safety Training Requirements:
Basic on-the-job training that satisfies the Primary Objectives of the specific position (as noted above)
