Payroll/Billing Specialist

Worldwide Medical Staffing (WWM) is a Native American-owned, Service-Disabled Veteran-Owned healthcare staffing firm headquartered in Mesa, Arizona. We specialize in placing highly qualified healthcare professionals — including Registered Nurses, LPNs, Medical Lab Technicians, Pharmacy Technicians, Nurse Practitioners, and Physicians — at federal facilities across the United States. With active contracts spanning 14 states and a workforce exceeding 100 healthcare professionals paid weekly, WWM is a fast-growing, mission-driven company. We are looking for a detail-oriented Payroll/Billing Specialist to join our team and support our continued growth.

POSITION OVERVIEW

The Payroll/Billing Specialist plays a critical role in ensuring our healthcare professionals are paid accurately and on time, and that our federal clients are billed correctly and promptly. This is an in-office, Monday through Friday position based at our Mesa, AZ headquarters.

KEY RESPONSIBILITIES

Collect, review, and verify weekly timecards from healthcare professionals across multiple states Process multi-state payroll accurately and on schedule for 100+ employees per week Generate and submit invoices/billing to federal clients based on approved timecards and contract terms Reconcile payroll and billing discrepancies in a timely manner Maintain organized payroll and billing records in compliance with federal contract requirements Coordinate with recruiters and credentialing staff to confirm placements and hours worked Respond to employee and client inquiries regarding pay and invoice questions

REQUIRED QUALIFICATIONS 2-3

years of payroll processing and/or billing experience (required) Strong proficiency with payroll software platforms and MS Office (Excel required) High attention to detail and accuracy in a high-volume environment Strong communication skills — written and verbal Ability to manage multiple deadlines simultaneously in a fast-paced environment Preferred Qualifications (a Plus!) Experience with temporary staffing agency payroll and billing workflows Multi-state payroll experience — especially across the Southwest and Great Plains Familiarity with federal government contracting billing requirements Experience with IHS, VA, or other federal healthcare facility billing
