This role ensures the accuracy and efficiency of billing processes across multiple clinical departments including Medical, Mobile Unit, Vision, Acupuncture, and Dental services. The Billing Coordinator assists with payment posting, reconciliation, claim follow-up, and billing compliance while supporting reporting, financial analysis, and operational improvements. Working closely with executive leadership, clinic directors, and external partners, the Billing Coordinator helps maintain accurate billing practices, improve revenue cycle performance, and support organizational reporting and operational efficiency. Responsibilities Convene meetings and teleconferences with external billing contractor(s) . Ensure clinic management is informed of operational steps necessary to improve billing efficiency and revenue cycle performance. Communicate updates regarding Medicare, Medi-Cal, and other third-party payer rules and regulations to the CMO, Department Directors, and providers. Assist in educating medical staff on appropriate visit coding and procedures Prepare and compile billing and operational data for Board meetings , management review, and organizational reporting. Post and reconcile payments in a timely manner and notify the external billing contractor of missed billings, rejections, or other billing issues. Reconcile account discrepancies and investigate billing issues as needed. Review write-offs to ensure compliance with clinic policy and financial controls. Ensure patients are billed correctly for services rendered and assist with resolution of billing inquiries. Follow up on patient accounts and verify insurance information to support accurate claims submission. Perform additional billing tasks and revenue cycle activities as assigned by management. Administrative Coordination Compile, prepare, and distribute internal reports for leadership, departmental reviews, and organizational meetings. Provide logistical support for meetings, conferences, and organizational events as required. Participate in special projects or organizational initiatives as assigned by leadership. Electronic Health Records Support Assist with the use, setup, and ongoing optimization of the eClinicalWorks electronic health record system. Coordinate with clinic leadership, staff, and vendors regarding system improvements, troubleshooting, and training needs. Support reporting functions and data extraction from eClinicalWorks for operational and financial reporting. Travel Occasional travel between clinic locations, organizational events or external vendors may be required. Qualifications Bachelor's degree from an accredited university or college Medical, Acupuncture, Optometry or Dental billing and collections experience at a management or coordination level required. Thorough understanding of ICD-10, CPT and HCPCS coding systems required Experience working with government assidtance programs as well as thiird-party payers, PPOs, IPAs, managed care, and capitation models. Experience in FQHC, Experience with eClinicalWorks strongly preferred. Strong analytical and reporting skills, including to compile operational and finnaancial reports.
