Job Description

Leading independent CPA firm located in Novato and relocating to Petaluma in July is seeking to hire an experienced administrative - billing assistant to support partners and tax staff. Responsibilities include but are not limited to: l Answer phones, calendar meetings and events, organize tax documents for preparers, and tax return assembly. l Distribute mail, deposit checks and run credit card transactions. l Daily filing, scanning and organization of client data. l Assist with bulk mailing and special projects as assigned. l Create, organize and maintain client files, prepare weekly reports, maintain and order office supplies as needed. l Assist staff with various administrative duties as needed. l Maintain office organization. l Assist with billing in all areas.
Required Skills:
l Exceptional telephone manner and strong interpersonal skills, clear and professional speaking voice. l Mature and motivated self-starter, positive can-do attitude. l Detail-oriented with strong organizational skills. l Dependable and professional with the ability to work independently and as a team player.
l Customer service experience:
able to interact with clients, vendors and business colleagues to resolve issues or answer questions. l Exceptional time management skills, strong multi-tasking abilities and ability to prioritize accordingly. l Ability to function in a fast-paced environment, meet deadlines and work well under pressure. l Three years' experience in an administrative role. l High School diploma and college coursework, degree preferred. l Flexibility to work overtime. l Advanced skills in Microsoft Office (Word, Excel, and Outlook) and various other software programs preferred.
DUTIES:
Data entry, update multiple programs for assignments and tracking tasks. Assemble tax returns; delivery and track same; Responsible for knowing tax assembly and filing requirements. Must follow firm procedures as they pertain to completion of assignments; Delivers knowledgeable, efficient and accurate customer service via verbal communication and email to clients; Scan and organize client and office documents; Prepare reports; Keep all information related to the firm and its clients confidential.
Pay:
$28.05 - $33.78 per hour
